POSITION SUMMARY

Function as the company’s point of contact for all employment-related services (multi-state operations), products, tools, systems and processes including, but not limited to:

  • Timekeeping and related records management
  • New hire orientations
  • Leave of absence tracking and administration
  • Employee benefit renewals and enrollment
  • Employee questions and problem solving
  • Employment terminations and related processes
  • Employment files, records administration
  • Document management
  • Work injuries and workers compensation
  • Compliance reporting
  • Payroll coordination (time entry submission and summarizing other HR items impacting payroll)
  • Bi-weekly payroll processing cross-training/back-up

The above responsibilities are expected to consume 50-75% of this position’s time. The remainder of time will be spent on accounting specialist responsibilities, which will primarily focus on accounts payable.

JOB DUTIES:

Human Resources (50-75%)

  • Serves as the primary point of contact for HR admin inquiries from employees
  • Conducts or acquires background checks and employee eligibility verifications, submits results to CFO or President for review and approval for hiring, manages pre-adverse action/adverse action procedures, and/or notifies department managers regarding approval of candidates for hire.
  • Implements and conducts new hire orientation and employee recognition programs.
  • Performs routine tasks required to administer and execute human resource programs including but not limited to compensation, benefits, and leave; disciplinary matters; disputes and investigations; performance and talent management; productivity, recognition, and morale; terminations and related compliance; occupational health and safety; and training and development.
  • Maintains employee file documentation
  • Utilizes phone, email, bulletin boards and other vehicles to communicate information.
  • Administers employee leave and related policies and procedures
  • Administers employee benefits renewal process
  • Handles employment-related inquiries from applicants, employees, and supervisors, referring complex and/or sensitive matters to the appropriate staff.
  • Reviews, tracks, and documents compliance with mandatory and non-mandatory training, continuing education, and work assessments. This may include safety training, anti-harassment training, professional licensure, and aptitude exams and certifications.
  • Assists with maintaining compliance with federal, state, and local employment laws and regulations, and recommended best practices; reviews policies and practices to maintain compliance.
  • Performs other duties as assigned.

 

Accounting Specialist (25-50%)

  • Process vendor payables; reconcile vendor accounts; research/resolve discrepancies
  • Assist with other admin and accounting responsibilities as needed (e.g., filing, sales tax compliance, invoice processing, etc.)
  • Special projects and other responsibilities as assigned
MINIMUM REQUIREMENTS TO HOLD THIS POSITION

Education and/or Experience/Training

  • High school diploma or equivalent
  • Two or more years of HR administration experience
  • Proficient in HRIS system applications (preferably Kronos)
  • Proficient in Microsoft Office Products (especially Microsoft Excel)

Required Licenses/Certificates/Registrations

  • None required

Minimum Ability to Safely Use and Operate the Following Equipment

  • Standard office equipment
