Duties and Responsibilities for Unit Secretary :

• This position is to assist in the day-to-day functions of the facility relating to the long-term care operation
• Record medical and administrative information in accordance with our established charting and documentation policies and procedures
• Maintain an up-to-date roster of residents for your assigned unit
• Answer telephone, page calls, deliver messages to residents, etc. as necessary
• Maintain a current listing of emergency phone numbers for your assigned unit
• Record appropriate resident identification data on designated medical records, wristbands, ED cards, etc. as required
• Forward new diet orders and / or diet changes to the Dietary Department
• Keep nursing service personnel informed of residents’ appointments
• Assist in arranging for and making resident appointments for diagnostic and therapeutic services
• Assist in arranged for transportation, packing resident’s belongings, escorting them to discharge / transfer area, etc. as necessary
• Complete necessary medical and administrative records upon the resident’s admission, transfer, and / or discharge
• Forward completed charts of discharge residents to the Medical Records Department
• Direct visitors to resident rooms, office areas etc. as necessary

Qualifications & Experience Requirements for Unit Secretary :

• Previous Unit Secretary experience preferred
• Must possess, as a minimum, a high school education
• Basic knowledge of medical terminology and nursing practices is helpful
• Must be able to read, write, speak, and understand the English language.
• Must possess the ability to make independent decisions when circumstances warrant such action
• Must possess the ability to deal tactfully with personnel, residents, family members, visitors, government agencies / personnel and the general public.
• Must possess the ability to work harmoniously with other personnel.
• Must be able to understand and carry out written and oral instructions.
• Must have patience, tact, cheerful disposition and enthusiasm, as well as be willing to handle residents, staff, and visitors based on whatever maturity level at which they are currently functioning
