Role Description
This is a full-time on-site Executive Assistant role located in Stuart, FL at Awbury. The Executive Assistant will be responsible for providing executive support, facilitating communication, and offering administrative assistance to ensure smooth operations.
The Executive Assistant will be primarily responsible for providing comprehensive support to our CEO and assisting the broader team with travel and office administration. This dynamic position requires the ability to anticipate needs, think critically, and offer solutions to problems with a high level of professionalism and confidentiality.
The successful candidate will play a crucial role in ensuring the CEO's daily operations run smoothly, facilitating the CEO's ability to effectively lead the organization with advanced communication skills, as well as an innate ability to simplify complex concepts and to plan, prioritize and seamlessly assist the broader team in multiple areas as required. Key Responsibilities
- Efficiently manage the CEO's calendar, including arranging meetings, conferences, and appointments, while prioritizing conflicting commitments and optimizing time management.
- Assist with personal travel arrangements and appointments as needed.
- Plan, coordinate and manage extensive domestic and international travel, including flights, accommodation, ground transportation, and itineraries.
- Serve as the primary point of contact on matters pertaining to the CEO.
- Work closely with the CEO and other Executives to keep them well informed of upcoming commitments and responsibilities and follow up appropriately.
- Anticipate the CEO’s needs in advance of meetings, travel and other commitments.
- Build and maintain positive relationships with key stakeholders.
- Act as a liaison to the corporate secretary and provide support to the Board of Directors. Schedule meetings; draft agendas; develop, compile, and distribute presentation materials.
- Work cross-functionally with risk, management as well as operations and accounting team to occasionally assist with basic booking, reconciliation and reporting
- Assist with data gathering and analysis for marketing, origination and reporting
- Ad hoc projects and analysis as required
Qualifications
- Executive Administrative Assistance and Executive Support skills
- Strong verbal, written and interpersonal communication and administrative assistance skills
- Excellent organizational problem solving, teamwork and time management abilities
- Proficiency in Microsoft Office suite (Word, Excel, PowerPoint, Outlook) and conferencing products
- Ability to maintain confidentiality and exercise discretion
- Relevant certification or degree in Business Administration or related field
- Minimum of 3 years’ related experience supporting C-Suite executives
- Proven ability to handle confidential information
- Excellent time management, problem solving, teamwork, and communication skills
- Self-motivated with a strong work ethic
- Strong accuracy aptitude and detail orientation
- Ability to multi-task and work under pressure within a deadline-oriented environment
Education
Bachelor's degree in Business Administration, Marketing, Communications, or Project Management or related field.
