ASSISTANT PROJECT MANAGER
Axiom Design Build’s Assistant Project Manager (APM) is responsible for supporting the Project Manager directly, as well as managing sub-contractor communications and processes, administrating Requests for Proposals (RFPs), implementing and routing pay requests, cost coding receipts, entering budget updates to assist PM with cost projections, and managing reports to support project data. The APM is also responsible for managing paper flow, filing, updating files on the X drive, and maintaining general organization of projects, documents, and data. The Assistant PM reports directly to the Project Manager.

JOB EXPECTATIONS and DUTIES TO BE PERFORMED
- Manage and administrate Production Meeting Action Items for PM approval (includes meeting prep / organization and post meeting follow-up)
- Administrate “Cost of Overall Jobs Report” for Operations Manager (Viewpoint software, specific to active jobs assigned)
- Assist Operations Manager with Contract & Billings reports, budget reports and updates, and data entry (using Viewpoint Software, specific to active jobs assigned)
- Manage Microsoft Excel Budget updates (enter Costs to Date and highlight nuances for PM)
- Review subcontractor proposals for accurate scope and thorough pricing and quantities; analyze against construction budgets, present data to Project Manager.
- Administrate contract / scope / payment process upon approval of contract.
Subcontractor Relations Responsibilities
· Manage buyout and RFPs using Schedule of Values related to Phase Codes and budgets.
· Foster subcontract relations to increase quality of bidding.
· Draft subcontracts and communicate regarding schedule, scope and expectations of work & process
· Administrate Builder Trend templates– schedule templates, create bid packages, train subcontractors on Axiom processes, process management (including process for awarding bids)
· Create subcontract entry in Viewpoint’s subcontract ledger. Receive sub/ledger number assignment to apply to contract; support Christy and AP as needed.
· Administrate and track project change orders – track all change orders in Builder Trend (entry) and Excel budgets (entry) so they are recognized in updated budgets and projections
· Analyze subcontracted work flow and update in Builder Trend and Microsoft Excel budgets
Procurement Responsibilities
· Manage, source, and coordinate the purchase and delivery of Axiom-purchased materials (working directly with Superintendent /PM for sign-off on dimensions and quantities) for projects
· Approve and finalize purchase order details, deliveries, units, and pricing
· Coordinate warranty items – purchase items for previous projects under warranty
· Coordinate client Wrap meeting and client close-out gift (with designer)
