Responsibilities:
Under general supervision, performs record management activities; plans, organizes, establishes and maintains records database, and organizes storage. Tasks include selecting, cataloguing, classifying, circulating, and maintaining materials and furnishing reference services. Responsible for cataloging, maintenance of existing records ensures efficient and effective use of integrated system through technical support, problem solving and staff training. Manage data backups and backup logs.
- Establishes and maintains automated specialized record-keeping systems, restructures automated files to sort items based on material and document context; posts information to records and files to update information and document activities.
- Collect, Analyze, Index and Catalog Documents, Drawings and other Information.
- Reads, interprets, and performs complex classification and coding of relevant documents to enter into document system.
- Make independent decisions including exceptions to rules while maintaining consistent standards.
- Develops initiative to address issues identified in records programs, recommending appropriate changes.
- Train personnel individually and in groups on the use of information storage/retrieval system and computer usage in general.
- Serves as expert administrative and technical resource regarding filing and record-keeping system.
- Conducts file searches to locate archived documents.
- Resolve difficult problems and customer service issues related to the document archival system.
- Creates and compiles reports regarding archives and records.
- Produces management information reports and summaries.
- Develops, reviews and maintains records disposition schedules, ensures compliance with customer requirements and company policy; responds to requests for information records issues. Review and update records retention schedules on a quarterly basis.
- Purges the system or participates in the records destruction process, ensures compliance with retention schedules.
- Verify and archive data backups.
- Security and confidentiality must be exercised at all times.
- Other duties to best support the department as directed by IT leader.
Skills to Accomplish Tasks:
- Use Computers, Electronic Scanners & Multi-Media Technology
- Use Cataloging and Information Retrieval Software
- Basic understanding of data networks, windows systems and data archival technology
Qualifications Required:
- Education: High School or Equivalent, Associates in record management/library sciences, information systems or equivalent discipline.
- Knowledge of: records management principles and current practices/trends in information technology pertaining to security, retention and destruction of various forms of electronic records and information technology.
- Ability to plan, organize and set priorities and accomplish tasks with minimal supervision.
- Ability to: keyboard for long periods of time and enter data quickly with a high degree of accuracy; attend to detail; do alphanumeric and chronological electronic filing; maintain strict confidentiality; identify data discrepancies; multi-tasking of complex and demanding functions; provide effective customer service.
- Ability to communicate effectively orally and in writing, and maintain good working relationships with other employees.
Qualifications Desired:
- Education: Associates Degree
