What are the responsibilities and job description for the Clinic Receptionist position at BALANCE ART ACUPUNCTURE?

Balance Art Acupuncture and Wellness Center is seeking an experienced, reliable, motivated, team player with a positive attitude for our growing integrative medicine & acupuncture center. To be successful as a Receptionist, you should have a pleasant personality, as this is also a customer service role. You should be able to deal with emergencies in a timely and effective manner, while streamlining office operations. Multitasking and stress management skills are essential for this position. Our ideal candidate will be able to eloquently communicate with our patients in person, over the phone, and via email with a focus on providing five star, exceptional customer service. They will also ideally have prior knowledge and experience of health insurance, patient account balancing and health insurance claim submissions.

Our ideal candidate will be available 8~9 hours daily full-time per week from Tuesday to Saturday:

Responsibilities include:

  • Answering and efficiently managing phone system
  • Greet and welcome guests as soon as they arrive at the office and direct visitors to the appropriate treatment room
  • Answering patient emails and voicemails in a timely manner
  • Coordinating patient care, insurance verification, payment collection and medical record management
  • Managing other office staff along with offering excellent support to the Medical Director
  • Applying universal precautions to manage and prepare patient rooms and medical equipment
  • Assisting with patient care as needed
  • Accurate scheduling of patient appointments in person, over the phone, and over email
  • Diligent management of patient workflow (notating patient check in and out times, managing cleaning rooms while checking patients in)
  • Management of patient accounting, insurance billing for patients, and patient records
  • Ensure reception area is tidy and presentable, with all necessary stationery and material (e.g. pens, forms and brochures). Management of inventory, equipment, and supplies

Requirements:

  • English requirement (Chinese language preferred)
  • Outgoing, enthusiastic, friendly, and love to smile
  • Proficiency in Microsoft Office Suite, Hands-on experience with office equipment (e.g. fax machines and printers)
  • Prior knowledge of OfficeAlly, UnifiedPractice, are a plus
  • Professional attitude and appearance, Customer service attitude, Solid written and verbal communication skills, Excellent organizational skills
  • 1 year experience in healthcare, medical, or wellness industries
  • 1 year experience in customer service or hospitality industries
  • Reside within reasonable proximity to our office in Vienna, VA
  • Authorization to work in the USA
