Department Overview:
Global Markets and Financial Risk (GMFR) seeks to deliver effective independent risk management of the activities and processes associated with managing the Company’s market, capital, liquidity, and earnings risks. This group also provides Chief Risk Officer coverage for the Global Markets business and the CFO Group. Within GMFR, the Enterprise Capital and Liquidity Risk Team, Market Risk Reporting and Analytics Team, and Global Mortgages and CFO Market Risk Team provide independent risk oversight of the Company’s liquidity, capital, earnings, and market risk exposures, inclusive of climate related risks. Our teams also collaborate with other functions in GRM and GMFR to deliver a holistic point of view across 7 risk types for the Global Markets line of business and the CFO Group.
Role Summary:
Manages diverse business administrative functions over multiple departments within Risk. The ideal candidate for this role must have experience working in a fast-paced work environment with the ability to multi-task across varying priorities. A working knowledge of general bank policies, programs and procedures and HR practices is essential.
Key responsibilities:
•Supports 3 MD's based in Charlotte and NYC with a total team size of about 150 people.
•Hiring Requests partnering with HR, personal justifications and onboarding coordination with central COO
•Coordination/scheduling of interviews amongst managers and interviewees
•Maintaining up-to-date business continuity plans, organizational charts and hiring requests, and running point on special projects
•Network share drive management with requests and approvals in ARM as well as storage management
•Central contact and coordinator in CLT for GMFR
•Assist our space coordinator in NYC with an updated and ongoing floor plan
•Able to effectively collaborate, influence and navigate the enterprise; research and resource information across the bank
• Prepare managers for day meetings including daily calendar, assist in compiling and organizing documents and materials for meetings
• Highly organized, able to effectively prioritize and execute tasks in a high-pressure environment
• Accurately arrange complex, detailed and frequently changing travel plans and itineraries
• Travel & Expense processing
• Assist with on-boarding & off-boarding employees & contractors;
• Handling Technology and equipment issues
• Assisting with Facilities management
• SharePoint site management
• Screen & respond to incoming calls: forward & respond pro-actively as appropriate
• Should be resourceful and able to work autonomously across a complex organization structure.
• Must be able to be adaptable and work with well with people with different interpersonal styles.
• May act as liaison to outside groups coordinating events where the executive is a corporate chair, director or committee member
• Support executive’s team on various routines and meetings
Critical success measures:
Must have 3-5 years’ experience in a Sr. Administrative Role or comparable level of experience
• Demonstrated ability in either current or prior positions to interact with senior level executives
• Experience supporting more than one line of business executive with demonstrated ability to manage multiple & competing priorities
• Ability to work independently, multi–task, manage time wisely; handle confidential and sensitive material with highest degree of integrity.
• Strong executive presence; superior interpersonal communications skills
• MS Office Products (Outlook, Word, Excel, PowerPoint). Must be proficient with these programs.
• Ability to multi-task in an urgent and deadline-driven environment
• Accuracy/quality control – must demonstrate accuracy & thoroughness and monitor own work to ensure quality
• Excellent attention to detail and organizational skills
