Receptionist position is Monday-Friday (8:30am-5pm) Position reports to the Manager of Human Resources and will work alongside the human resources department
ESSENTIAL DUTIES AND RESPONSIBILITIES:
To be a primary point of contact for Banyan's main phone line and provide a great first impression for anyone calling in or visiting Banyan.
Answering the phone in a professional manner assisting customers by providing information, answering questions, and transferring calls to the correct department or teammate.
Assist teammates if they are not available to take a phone call by directly assisting the caller, by transferring the caller to voice mail or by taking a message.
Assist and help train teammates with questions they may have on the phone system and/or voice mail.
Assist all Banyan department by screening and forwarding calls and assisting customers.
Provide clerical support to the Executive team, as needed.
Distribute and maintain airport gate cards and ramp permits for current teammates.
Assist customers with our phone system, copier or faxes, and mail as needed.
Assist with inventory of office supplies on a weekly basis.
Distribute faxes and messages.
Use two-way radio for communication of messages, as needed.
Purchase postage for the postage meter and monitor usage by entering information in the log.
Assist in the preparation and distribution of Human Resources monthly newsletters, notices, letters, folders and memos as required.
Assist marketing department with the preparation and distribution of letters, cards, etc. as needed.
Assist in maintaining the lobby and conference rooms in a neat, orderly fashion.
Prepare coffee, maintain supplies, and keep area clean.
Communicate with co-workers, management, customers, and others in a courteous and professional manner.
Follow and abide by all regulations, policies, work procedures, and instructions.
Other light administrative duties as assigned
KNOWLEDGE REQUIRED:
*Bi-lingual preferred but not required
Must have experience with Microsoft Office (Outlook, Word and great typing skills)
Professional and business etiquette required with excellent customer service
