Litigation Legal Assistant
LITIGATION DEPARTMENT LEGAL ASSISTANT JOB DESCRIPTION
ADMINISTRATIVE:
· Maintaining an orderly workflow in your area of responsibility.
· Setting priorities to accomplish the attorney(s) work in a timely manner.
· Communication with attorney(s), paralegals, and legal assistants regarding case status
· Send client emails with recent case filings
- Prepare and input daily time into timeslips attorney(s) time.
- Attorney monthly expense reimbursements
· Maintain attorney dues to be paid for Florida Bar, District Courts, Appellate Courts and Supreme Court
· Other duties, as assigned.
LITIGATION:
- Maintain litigation calendar for cases assigned which includes:
- calendaring of hearings, depositions, attorney meetings, telephone conferences (trial deadlines are calendared by Paralegal assigned to case)
- court deadlines as provided in Florida Civil Rules of Procedure
- Saving of all pleadings, correspondence or other documents that are case related except for document productions, which are saved by the paralegal.
- Upon receipt of discovery from opposing counsel, prepare shell discovery responses and forward to attorney(s) handling case.
- Maintain client electronic and hard files
- E-file pleadings and serve on all parties after preparation. (If deposition Notice, forward to court reporter)
- Update calendar with confirmation from Court Reporters for hearings and depositions.
- Confirm court reporters for hearing and depositions the day prior. If hearing was scheduled by opposing counsel, confirm they have hired a court reporter. If they have not, schedule court reporter.
- Saving of Deposition Transcripts, Exhibits and Videos
- Maintain spreadsheet of all depositions taken in case, receipt of transcripts and videos from depositions. Follow up with court reporter until transcript and video have been received
- Coordinate and schedule Hearings and Depositions as directed by attorney.
- Prepare binders with caselaw for upcoming hearings
- Set up conference room prior to hearing or deposition and make sure Zoom information is emailed in advance of deposition or hearing
- Maintain updated “Case Style” for all cases which includes updated certificate of service and signature block
- Coordinate client and/or expert meetings as directed by attorney.
- Communication with clients, experts, and witnesses for coordination of meetings as directed by attorney(s)
TRIAL RESPONSIBILITIES
- Make Hotel Arrangements for attorney(s) and/or clients and witnesses
- Coordinate with IT department for copier and any other IT related items that will be needed for use at hotel
- Prepare trial supply box for attorney(s)
Job Type: Full-time
Pay: $48,000.00 - $54,000.00 per year
