Office Manager / Assistant Business Manager
The Barton Ranch, one of the area’s premier family farming companies, is looking for the right person to fill this full-time/flex-time, year-round position for someone who wants to be part of a great team.
Job Description –
Manage or support all business administrative duties in the areas of:
- Business & Office Administration
- Regulatory Compliance
- A/Ps, Payroll, Treasury Assistant
- Human Resources
- Project Management Assistant
- Insurance(s) Program
Business & Office Administration –
- Manage the business office
- Assist with managing all administrative functions of the business such as
- Maintaining the Company calendar
- Scheduling meetings
- Manage relations with vendors and service providers. Run parts when needed.
- Manage contracts and assist with vendor negotiations and pricing
- Perform basic IT, software, and office equipment troubleshooting and fixes
- Organize and maintain business records
- Other duties as needed
APs, Payroll, Treasury Assistance –
- Assist with and perform invoice approval, entry, and payment processing
- Assist with and perform processing of employee timecards and payroll
- Track bank balances, recommend and execute fund transfers
- Assist with preparing management reports
- Recommend and produce management reports or other work product that drive profitability
Human Resources –
- Supervise and assist with all HR activities, communication, compliance, reporting, and requests to support and improve Barton Ranch’s status as a great place to work
- Review, develop, and maintain job descriptions
- Assist with recruiting, screening, interviewing, hiring, and on-boarding new employees
- Maintain knowledge of wage & benefit standards, regulatory needs, best practices, and new technologies in human resources, talent management, and employment law. Communicate with and advise management. Execute on needs.
- Assist with timely and constructive performance evaluations
- Assist with employee coaching, discipline, and separation of employment matters
- Manage the Company’s Safety Program
- Organize employee events
Insurance & Safety Program –
- Provide administrative assistance for the maintenance of all business insurances, including:
- Property
- Health
- Business vehicle
- Worker’s compensation
- Liability and umbrella
- Employee benefits
- Provide for quarterly property, equipment, and safety inspections
Regulatory Compliance –
- Review and understand current Company practices and strategy. Recommend streamlining and improvements. Business areas in this department, requiring compliance and reporting are:
- Pesticides
- Labor
- Irrigation water
- Hazmat
- Emissions
- Fuel & petroleum storage
- Other
- Employee posters
- provide training in compliance practices and procedures
- monitor, document, and timely report as required all with a view to maintaining this department as a profit center of the business
Project Management Assistance –
- Assist with the management of projects in the following areas, for example:
- New construction
- Business expansion opportunities
- Major repairs
- Succession planning
- New business initiatives
- Other, as needed
Qualifications & Requirements –
- An aptitude for business and profitability, along with an entrepreneurial spirit
- Strong organizational and time management skills, and the ability to prioritize
- Exceptional attention to detail
- Must be a self-starter and driven to improve the Company and its team members
- Strong problem-solving skills and analytical abilities
- Excellent communication and interpersonal skills and the ability to motivate people. Ability to speak Spanish is desirable but not mandatory.
- Possess a willingness to work long hours when required, and have demonstrated the highest standards of attendance, personal conduct, and honesty
- Proficient with Microsoft Office and an accounting software
- A proven track record of success
