About the role:
We are looking for a Ground Transportation Coordinator to join our dynamic team. In this client facing role, you will act as support to the Ground Transportation Logistics Lead. You will assist with pre-planning, on site and post meeting ground transportation logistics, specifically for Meeting or Event functions for executives. You will collaborate with peers and vendors alike to ensure each event is executed flawlessly from initial manifests, through onsite execution, budget reconciliation and everything in between. As a Ground Transportation Coordinator you will:
- Work with Peers to ensure all milestones are clearly communicated and met. Be consultative in your approach. Afterall, you're an expert in ground transportation.
- Assist with being a liaison between Event Planners, Corporate travel, Corporate Aviation and third party vendors to coordinate and execute flawless ground transportation logistics.
- Pre-event coordination, data entry, tracking, and any other duties as directed by Ground Transportation Lead.
- Ensure vehicles are scheduled as required, on site and ready for executives at arrival location
- Assist with meeting and directing executives to appropriate vehicle/staging area and ensuring executive luggage accounted for appropriately
- Assist with executing and accounting for onsite changes/course corrections. Assist with directing on site coordinators as appropriate
- Assist with ensure meeting manager, executive assistants, Corporate aviation are kept apprised in a quick and efficient, yet professional manner.
- Interface with 3rd party vendors - car service, parking, hotel, venue, dispatching and security to ensure logistics are coordinated with all stakeholders
- Ensure everyone, from client to attendee to staff has a positive and memorable experience from initial contact through their departure. We aim to please!
- The ability to travel regularly and be comfortable with long hours onsite.
You're good at
- Cvent, Microsoft Office Suite and a mastery of Excel.
- Superior organizational and project management skills.
- Able to analyze data and have a keen eye for the details.
- Excellent verbal and written communication skills.
- Strong presence, you have the ability to own the room and convey confidence, knowledge of best practices logistics and a professional presence at first impression and on-going.
- Managing multiple priorities and being adaptable. You have exceptional problem-solving skills, are calm under pressure and work well in a collaborative environment.
- Establishing long lasting, professional relationships with executives, co-workers and vendors.
You might also have
- A college degree from a 4- year institution.
- 1-3 years of logistics management
- Working knowledge of ground transportation preferred.
You should know:
- This role is in office in Charlotte, NC.
- Our standard working hours are 8:30 AM -5:30 PM with an hour break.
- Covid vaccination might be required for this role.
