Job Title: Event Planner
Location: Naples, FL 34103
Duration: 6 Months contract FTE
Event Planner Responsibilities:
The primary responsibility for this job function is to serve as the main point of contact for scheduling and executing meetings as requested by our internal customers from all Lines of Business. The candidate will work closely with bankers and executives of all levels, as well as their administrative assistants, business management, support and events teams to coordinate and manage meetings and events.
Key responsibilities include:
- Assisting, tending to, and anticipating guest's needs:
- Guest check-in & greeting
- Escorting guests/directing meeting hosts
- Verifying confirmed room setup and replenish meeting materials/items
- Fulfillment of internal/external guest requests and inquiries in a timely manner
- Coordinate/verify guest arrivals per proper security protocol
- Communicate special requests to catering company & setup AV requests, consulting regional technology teams as needed
- Assist with taking reservations via e-mail, telephone, and accommodating same-day walk-ins, while providing customer service to all users (incl. external guests and senior executives)
- Support administrative requests by executives and assistants
- Oversee and co-manage the EMS reservation books
- Organize and execute meetings and events
- Understand and Communicate daily set ups to appropriate parties if applicable
- Maintain a high level of cleanliness, organization, and attention to detail in the space
- Manage inventory of coffee bar/pantry, and maintain working knowledge of beverage service offerings and catering/culinary menu
- Understand food prep and health and safety rules, regulations and best practices
- Assist on daily, weekly and monthly facility inspections, completing facilities requests as needed ? Closely monitor and manage expenses/budget
- Assist in surveying client experience and proposing solutions based on feedbackSupport leadership or events team on special events
- Work closely with internal partners and vendors including the catering company, events team, facilities/building teams, and cleaning crew
- Highly adaptable to working environments as this role provides meetings/events services to multiple lines of business
- Various administrative tasks such as: invoice processing, scheduling maintenance calls with vendors, and order kitchen, banquet, and office supplies, among others
- Support local line of business in projects, initiatives, and appropriate tasks

- Maintain department equipment (fax machines, copiers, printers, etc.), front desk, and business center
- Excellent multi-tasker with the ability to handle stressful situations in a calm and professional manner
Qualifications:
- Bachelor's degree required
- Spanish or Portuguese is preferred
- 3-5 years' experience in high-end reception, concierge, administrative or hospitality services
- Meeting/event planning, PR, hospitality and/or food & beverage experience highly recommended
- Excellent interpersonal and communication skills with keen attention to detail and excellent time management skills
- Willingness to quickly learn about the stories behind artworks/archival objects installed
- Proficiency with widely-used software packages e.g. Zoom, Teams, Outlook, Word, Excel, PDF, and PowerPoint; experience with Event Management Systems a plus
- Basic administrative experience: maintaining files/records, typing, proofreading, answering telephone, coordinating conference room assignments, confirming appointments and/or maintaining calendars, invoice processing, vendor coordination/management
- Dedication and desire to provide best in class customer service, with a friendly and outgoing demeanor
- Must be willing to work/accommodate a flexible schedule (early mornings and late evenings as needed)
