SECRETARY
ONCOLOGY DEPARTMENT

The Secretary provides a professional secretarial and administrative service to departments at BHB. Secretaries adhere to professional administrative standards across BHB whilst delivering all the significant secretarial and administrative requirements of the role. They are responsible for providing flexible and efficient support which may involve all aspects of the role or focusing on a few key activities.
Key responsibilities include:
- Provides a first point of contact service on behalf of the department, which may take the form of telephone contact or staffing a reception desk
- Maintains hard copy and electronic filing and document management systems to ensure that records and documents are appropriately catalogued, secure and retrievable. Maintains version control where appropriate. Schedules Oncology patient appointments. Maintains databases. Uses standard reporting functions as required. Uses specialist IT systems associated with the functions of the department as required
- Takes the initiative to deal with matters within own personal knowledge, sign-posts to the appropriate department or escalates to a more senior person as required
- Opens, assesses and circulates hard copy correspondence. Completes templates and forms Drafts routine letters and responses under direction as required. Takes dictation and transcribes as required
- Formats standard documents. Collates, copies, prints and files document as required
Qualifications, Required Skills, Knowledge and Abilities required:
- Secretarial diploma or equivalent qualification in office administration
- Three years secretarial / administrative experience
- Knowledge of Microsoft Suits. Minimum of two years in a similar position, preferably in a healthcare environment
- Working experience using Application Program Interface (API) or Time and Attendance/ Scheduling system, is an asset
- Displays excellent verbal communication. Maintain efficient administrative processes
- Manage own time effectively. Works flexibly as a team member. Organise events and meetings. Organise work and use independent judgment. Knowledge of medical terminology
Schedule: 35 hours per week
