GENERAL DESCRIPTION

R&D Cross-border Project Manager is responsible for effectively coordinating, tracking, supporting and managing all aspects of external and internal customer projects (both long term projects, and short-term, tasks), including but not limited to: establishing timelines, coordinating resources, providing product quotations, obtaining/providing samples & technical documentation, and supporting all other customer requests. R&D Project Manager will act as a liaison between R&D, and Sales & Customer Service, Quality, Purchasing, Planning and Operations teams and customers to ensure customer requirements are communicated and addressed and/or implemented to achieve desired outcome on time, within budge, and in accordance with stakeholders’ expectations. This includes participating in all project-related meetings, notetaking, tracking and communicating timelines and objectives, and following up with relevant personnel to achieve project objectives.

ESSENTIAL JOB DUTIES/RESPONSIBILITIES

  • Create strong professional relationships with assigned customer/s and Sales Representatives, Customer service personnel, R&D, Operations & Quality functions, etc.

  • Proactively acknowledging customer requests and promptly resolving issues, problems or concerns in a timely manner.

  • Participating in customer meetings, audits, tours and video conferences. Maintain positive communications with current and prospective customers through video conference, facsimile, email, telephone and in-person meetings.

  • Depending on specific project scope, requirements, and needs:

    • Provide direct assistance and/or coordinate assistance to specific project tasks and objectives.

    • Define and clearly communicate project goals and objectives, clearly articulate project purpose, desired outcomes and success criteria to everyone involved.

    • Develop detailed plan, outline tasks, timelines & resource requirements, and milestones as needed.

    • Ensure project remains on track within defined boundaries and address any changes or deviations as needed.

    • Lead project teams, set expectations, facilitate effective communication and collaboration.

    • Monitor project progress, regularly track activities, evaluate performance against the established plan, identify and address any issues.

    • Manage stakeholder expectations, communicate any challenges and negotiate solutions.

    • Establish efficient channels of communications, promoting information sharing to ensure everyone is informed for project outcomes.

    • Maintain accurate records, including reports, documentation, project plans, meeting minutes, etc. and all other relevant information.

    • Monitor quality of project deliverables, identify, communicate and develop strategies to minimize and mitigate the risks.

    • Capture lessons learned, use feedback to improve future projects.

Shipping samples as needed or requested for customer via FedEx, USPS or UPS:

  • Follows established department SOP's, cGMP regulations, and batch record instructions.

  • Complies with all Company policies and procedures, including safety rules and regulations.

  • Maintains a safe work environment and operates in a safe manner.

  • Perform other job duties related to the job, as assigned by management.

QUALIFICATIONS

The requirements listed below are representative of the knowledge, skills, education, and/or abilities required for the job:

  • Proficient skills in reading, writing, and speaking in English; bilingual (English/Mandarin Chinese) skills a must.

  • Excellent written and oral communications skills & techniques.

  • Excellent task prioritization, planning & organizing skills. Can illustrate total system impacts when changes are made in any one area.

  • Excellent project management skills, aligned to new customer needs.

  • Ability to handle and prioritize multiple task/duties simultaneously.

  • Ability to present information in one-on-one and small group settings with customers, management and other employees.

  • Proficient math skills (addition, subtraction, multiplication and division in all units of measures, using whole numbers, common fractions and decimals).

  • Proficient PC skills (Microsoft Word, Excel, PowerPoint, Project).

  • Ability to maintain a high-level of confidentiality in the performance of job duties.

  • Ability to maintain a positive, professional, cooperative demeanor, conduct, and working relationship with peers, management, employees, and other individuals that interact with this position.

  • Ability to adapt effectively to workplace changes and new job duties/responsibilities.

  • Ability to represent the Company in a positive and professional manner at all times.

  • Effective trouble shooting, problem solving skills.

  • Willing to work late and/or during weekends; if needed.

  • Effective planning & organizing skills; ability to handle multiple task/duties.

  • Knowledge of general office skills and administrative procedures, including, but not limited to: typing (min. 45-50 wpm), filing, copying, faxing, editing, and development of memos, letters, reports, and correspondence.

  • Ability to work independently and in a team environment.

  • Ability to comply with Company policies, procedures, work rules, and protocols.

SELECTION GUIDELINES

The appropriate knowledge, skills and abilities required for this position are achievable through the following combination of education, work experience and training:

  • Bachelor Degree in Project Administration, Project Management, Chemistry, Biology, Pharmaceutical/Food Science, Industrial Engineering or related field from an accredited college/university; plus

  • Five (5) or more years of work experience in nutraceutical industry; or

  • Any combination of experience, education, and training that will provide the level of knowledge, skills, and ability required for the job.

  • Proficient expertise in Project Management Professional (PMP certification, or similar), is a strong plus.

  • Proficient skills in reading, writing, and speaking in English; bilingual (English/Mandarin Chinese) skills a must.

PHYSICAL DEMANDS & WORKING CONDITIONS

The essential functions of this job require the employee to perform the following physical activities during the course of work:

  • Communicates orally with management, employees, co-workers, vendors, suppliers, governmental compliance agencies, and the general public by telephone or in person, in one-on-one or group settings.

  • Regularly uses Microsoft Project, Excel and Access to build spreadsheets and next steps.

  • Regularly uses a telephone, computer (e-mail) and fax for communication.

  • Required to stand, walk, and sit for extended periods of time during the course of work shift.

  • Routinely required to stoop, bend, kneel, lift, and reach, in the performance of job function.

  • Requires the essential use of hands, speech, eyesight, and hearing.

  • Requires agility to operate multiple telephone lines with the use of hands and head-set.

  • Lifting limitations for this position: 25-40 lbs.

  • Vision requirements include close and distance vision, color vision, peripheral and depth vision, and the ability to adjust focus as needed.

  • Requires incumbent to sit and operate computer for extended periods of time during course of work day, and the ability to proficiently use the computer key-board for typing.

  • Noise level for this work environment is typically low to moderate.

  • Periods of odoriferous environment.
