We are looking for an individual with in-person, hybrid, and virtual meeting and conference planning experience. Essential Duties & Responsibilities.
- Assist in planning and coordinating meetings, conferences, and events.
- Schedule and manage meeting logistics, including venue selection, room setup, and audio-visual requirements.
- Coordinate travel arrangements and accommodations for meeting participants.
- Serve as a point of contact for meeting participants, vendors, and stakeholders.
- Communicate meeting details and updates to attendees in a timely manner.
- Liaise with internal teams and external vendors to ensure all meeting requirements are met.
- Prepare meeting agendas, minutes, and other relevant documentation.
- Maintain accurate records of meeting activities and decisions.
- Generate reports on meeting outcomes and follow-up actions.
- Assist in managing meeting budgets, tracking expenses, and ensuring cost-effective solutions.
- Provide regular updates on budget status and expenditures.
- Oversee the setup and teardown of meeting venues.
- Ensure all meeting materials and equipment are prepared and available.
- Address any on-site issues or last-minute changes promptly.
- Provide support to meeting participants before, during, and after meetings.
- Handle participant inquiries and provide assistance as needed.
- Ensure all meetings are conducted smoothly and professionally.
- Implement quality control measures to maintain high standards for meetings.
- Ensure all meetings comply with relevant regulations and safety standards.
- Develop and implement safety plans and protocols for meetings.
- Collect feedback from meeting participants to identify areas for improvement.
- Assist in implementing improvements to enhance future meetings.
- Stay informed about industry trends and best practices in meeting management.
- Pursue opportunities for professional growth and development.
- Bachelor's degree in Event Management, Hospitality, Business Administration, Marketing, or a related field.
- 1-3 years of experience in event planning, meeting coordination, or a related field.
- Experience with meeting management software and tools (e.g., Zoom, Microsoft Teams, WebEx).
- Strong organizational and time management skills.
- Excellent verbal and written communication skills.
- Ability to manage multiple tasks and projects simultaneously.
- Attention to detail and problem-solving skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
- Strong interpersonal skills with the ability to work effectively in a team environment.
- Ability to build and maintain relationships with clients, vendors, and stakeholders.
- Ability to adapt to changing priorities and handle stressful situations effectively.
