Administrator Duties/Responsibilities:
· Maintains confidentiality and professionalism both in and outside of the workplace
· Supports Funeral Directors and other staff as needed
· Helps maintain a tidy appearance throughout the funeral home
Receptionist
· Serves as first point of contact, greeting people entering the funeral home as well as answering phones in a professional manner, assisting callers with questions or directing to appropriate staff
· Manages correspondence (email, letters, packages, etc.)
· Receives and records customer payments; obtaining information for Form 8300 when necessary
Funeral Administration
· Data entry and monitoring of death certificates, forms, and contract adjustments
· Prepare service items and materials for funerals, including register books, clergy records, donation and welcome signage
· Monitors outstanding balances, sending invoices and collection letters in coordination with Funeral Director and other staff. Reports updates to management
· Print checks for funeral services
Accounts Payable
· Receives and verifies expense reports, enters into accounting system
· Receives and verifies cash advance expense request forms
· Receives and verifies credit card receipts, enters into accounting system
· Facilitates payment of vendors, which may include verification of federal ID numbers, obtaining W9s and COIs, reviewing purchase orders, and resolving discrepancies
· Receives and verifies bills, enters into accounting system
· Records entry of, verifies documentation for, and distributes petty cash
· Pays expense reports, bills, and cash advance expenses in a timely manner and with a high level of accuracy to ensure all expenses are accurate
· Provide Accountant with timely support
· Order office stationery and supplies
Accounts Receivable
· Prepares, posts, verifies, and records customer payments and transactions related to accounts receivable
· Verifies that information is accurately collected and reported for Form 8300 when necessary
· Provides Accountant with timely support
· Monitors Accounts Receivable and oversees invoicing in conjunction with Funeral Directors and other staff
· Provides Funeral Director Manager with timely reports and support
Required Skills/Abilities:
· Must be reliable and extremely trustworthy.
· Must be proficient in Microsoft Office Suite or related programs.
· Ability and willingness to be trained on and learn accounting or industry specific software systems.
· Excellent organizational and time-management skills, ability to multi-task efficiently.
· Ability to maintain confidential and meticulous records.
· Excellent verbal and written communication skills.
· Ability to operate related office equipment, such as computers, 10-key calculator, and copier.
· Ability to work independently and in a fast-paced environment.
· Ability to anticipate work needs and interact professionally with customers.
· Excellent customer service skills (in person and on the phone), professional demeanor. Compassion is a must.
· Problem-solving attitude with an eye for detail
Physical Requirements:
· Prolonged periods sitting at a desk and working on a computer.
· Must be able to lift up to 15 pounds at times.
Qualifications:
· High School diploma or GED equivalent; Minimum two years experience in a professional environment
Job Type: Full-time
Pay: $19.00 - $22.00 per hour
