The office manager at Better Days Therapies plays a crucial role in ensuring the smooth and efficient operations of our clinic. This position involves a combination of administrative, managerial, and client-focused responsibilities within the context of pediatric therapy services.
**This position requires a 2 step interview process. Applicants will first have a brief phone interview and will then be invited for a in-person interview if considered qualified candidate for this position.
Responsibilities:
- Manage and oversee the daily operations of the office to include organizing patient records/accounts, scheduling patients, managing the phones, responding to emails, sending faxes, reviewing insurance information with families and taking the initiative to assist around the office.
- Maintain and execute office policies and procedures while supervising and coordinating administrative staff, ensuring efficient scheduling of appointments and maintaining accurate client records. Must have strong organizational and multitasking abilities.
- Handle confidential and sensitive HIPAA information with discretion to families and patients while maintaining professionalism. Must provide exceptional customer service to parents, guardians, and clients. Address inquiries and concerns from clients in a professional and empathetic manner.
- Manage office supplies and inventory. Maintain a child-friendly and safe environment within the office.
- Facilitate communication between therapists, pediatricians, and other healthcare professionals as needed. Coordinate referrals and follow-ups with external healthcare providers. Maintain a positive and encouraging work environment.
- Ensure the office is clean, organized, and presentable at all times.
Experience:
**Must have AT LEAST 1 year experience working as an office manager/assistant, preferably in the medical field or from a pediatric setting.
- Familiarity with phone systems and handling incoming calls, must have good interpersonal skills to communicate professionally.
- Excellent organizational skills with the ability to manage multiple tasks simultaneously.
- Proficient in calendar management and scheduling appointments.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
