Summary:

The Service Coordinator is in-charge of receiving incoming work, communicating with customers, scheduling techs, working with techs to confirm start and completion of jobs, order and confirm delivery of parts, and preparing jobs to be closed out for the invoicing team. Some Saturdays maybe required.

Objectives:

  • Provide quality customer service by responding to incoming job requests in a timely fashion and scheduling the work to be completed according to the customer’s specifications.
  • Prepare resources and give support to technicians. Manage the workload by efficiently scheduling technicians.
  • Strive to meet customer set deadlines. Ensure all jobs are completed by identifying the proper documentation that has been done by the technicians before closing out the job.
  • Act as a liaison between customer and technician to ensure BGW is paid for all labor, travel, and parts used on site.

Personal Skills:

A Service Coordinator will have to learn how to use our Field Service Management System and other communication platforms. Be able to easily navigate google docs to quickly find resources. Be available at any time immediately during your shift to answer the phone or an e-mail from a customer or employee. Be courteous and tactful in all forms of communication both internally and externally. Be able to function efficiently with a positive attitude in a fast paced environment, multitasking ability is a must. Be able to logically prioritize tasks as they come up based on level of importance.

Main Duties:

  • Receive jobs
  • Add new customers and customer site assets to the system
  • Dispatch jobs according to priority
  • Provide resources to field technicians
  • Send estimates
  • Communicate changes and updates
  • Get site limit raises and approvals
  • Manage jobs from open to close
  • Manage technicians schedules
  • Order parts
  • Add charges to jobs
  • Meet timeliness expectations by the customer

Other Responsibilities:

All members of our team (employees) are expected to comply with any and all requests by upper management. Including but not limited to:

  • Keeping the office clean
  • Acting as front office person for all guests who arrive

Job Type: Part-Time to Full-Time (35-45 hours/week)
