Perform work including but not limited to performing work of a diverse character, serving a Full Charge Bookkeeper / Administrative Assistant, Handling of all office procedures, assisting the General Manager when requested. Oversee the work of the Office Assistant. Performs a variety of administrative functions. Schedules appointments, gives information to callers, and takes dictation. Composes memos, transcribes notes, and researches and creates presentations when requested. Generates reports, handles multiple projects, and prepares and monitors invoices and expense reports. May assist with compiling and developing the annual budget as needed. Requires a high school diploma with an additional 0-2 years of experience in the field or in a related area. Has knowledge of commonly-used concepts, practices, and procedures within a particular field. Relies on instructions and pre-established guidelines to perform the functions of the job. Works under immediate supervision to the General Manager.

- Bookkeeping duties
- Supervising the office assistant
- Preparing correspondence, if required.
- Record, prepare, and distribute minutes of various meetings
- Prepare and distribute financial statements
- Government reports
- 401(K) administration, the monthly contributions
- Oversee the linen management system
- Oversee electronic time clock system
- Serve as Customer Service Representative for both of the hospitals
1. Assist with in-service of new products - Assist hospitals with linen management system - Assist with reports to the Board of Directors * Keep employee’s files updated.
- Assist with purchasing / pick-up office supplies, bank deposits as needed
- Miscellaneous data entry typing, filing, reporting
- Keeping updated on government, IRS, and insurance changes
- Maintain integrity of all files updated with changes
- Various office procedures handled ( see Office Procedure Manual for Details)
- Keep Office Procedure Manual updated
- Assume responsibility for office management and acts as a liaison between hospitals and laundry in the absence of the General Manager
- All other duties as required and/or assigned.
Qualifications:
1. Knowledge, Skills, and Abilities
- Knowledge of Bookkeeping and generally accepted principles of governmental accounting and filing
- Knowledge of accounting techniques & procedures
- Knowledge of maintaining account balances and reporting on their status
- Ability to analyze and update general ledgers and fixed asset data
- Diagnose accounting problems
- Maintain and balance accounts, verify invoices, maintain journal entries, and balance all accounts
- Active listening & critical thinking skills
- Skill in typing (40 –50 words) is required
- Ability dictate / notate meeting notes and transfer notes to minutes
- Good human relation skills
2. Education:
- Have a High School Diploma
- Continuing education course in bookkeeping / accounting
- Possession of a valid Montana drivers license is required
- Immunization for Hepatitis B and Negative TB Test
3. Experience:
- Three to Five years previous experience in bookkeeping and accounting, including preparing income and expense statements
- Two years related field
- Office procedures (two years’ experience in office work)
Compensation:
$21.50 to $23.00 per hour
Additional Notes:
Must be able to pass drug/alcohol screening
TB test and Hep B series shots required
Clear background check

Valid Drivers License/ Reliable Transportation
