Our team is growing, and BioNTech is seeking an Events and Meeting Manager responsible for all aspects of our business meetings, events and travel planning. In this role you will focus on enhancing value for our internal customers by ensuring a seamless event/meeting experience.

Supporting BioNTech’s team in the US by:- Lead, create and coordinate BioNTech’s events and meetings, with a focus on enhancing value and creating a coordinated experience for all participants through best-in-class content and logistics planning.
- Manage and develop strategic plans to drive excitement and brand awareness ensuring consistent message and representation throughout events
- Partner with Communications, IT, Facilities, Cultural Teams and Administrative Operations functions to capture event planning logistics, details and marketing
- Provide flawless logistical management, developed contingency plans, procured job materials and reviewed administrative and safety procedures
- Conduct team meetings to plan scope and format of events and manage/track event progress
- Develop and monitor event budgets including pricing negotiation
- Create/present event proposals
- Negotiate and help execute client event contracts in partnership with Legal
- Ensure value-add and minimized risk through well managed-contracts with vendors, suppliers, and contractors
- Develop, manage and retain ongoing successful relationships with vendors and industry-trade professionals
- Secure travel and overnight accommodations for event guests and VIPs
- Coordinate food and beverage options with AdminOps to ensure dietary restrictions are addressed as well as review banquet event orders to ensure that all special requests exceeded expectations
- Produce unique event concepts, procure and develop entertainment acts, media/AV services, custom lighting plans, corporate staging, and venue décor
- Manage and develop a highly motivated event crew
- Identified and qualified prospects, met with clients and closed sales, consistently secured a high gross-profit margin on each project
- Lead the planning, forecasting, and drafting of budgets for all events
- Plan and oversee execution of events to include the sourcing and negotiation of venue and vendors, oversight of logistical elements and management of event and onsite staff, creation of sponsorship prospectus and contract execution and oversight
- Other projects as assigned
What you have to offer.
Minimum requirements; Bachelor’s degree and 3 plus years’ more years of broad-based event and meeting planning experience, preferably at a non-profit or similar organization
- Strong project management and time management skills, with the ability to independently manage competing priorities in a fast-paced environment
- Exceptional organizational skills and attention to detail required
- Proven leadership skills and ability to collaborate throughout all levels of the organization
- Professional communication skills with a commitment to delivering a high level of customer service; ability to remain approachable throughout project cycle
- Shows initiative, flexibility, and creativity to move projects through completion
- Technically savvy; highly proficient in Microsoft Office Suite and familiar with Microsoft Dynamics
- Previous travel planning experience.
- Strong project management, driving priorities and collaborating across various stakeholder teams
- High level of organization and attention to detail is required.
- Ability to thrive in a fast paced and dynamic environment.
- In addition to sound and proven technical capabilities, the role requires strong and mature interpersonal skills at all levels internally and externally.
- A high level of initiative, self-motivation, flexibility, creativity, and collaboration is required to develop, plan and execute successful meetings and events.
- Knowledge & Experience working with scientists, MDs, PhDs, and other biotech professionals.
