Blackbird Laboratories is a non-profit research institute launched in 2023 with the mission of creating new medicines and enabling technologies to address unmet medical needs. We also seek to amplify the innovation ecosystem in Baltimore via collaborations with Johns Hopkins University, University of Maryland, and other centers of research excellence.
We are seeking an experienced Operations Coordinator to provide administrative support and manage day-to-day office operations at Blackbird. The successful candidate will be proactive, highly organized, detailed-oriented, and able to multi-task in a fast-paced environment. This position will report to the Director of Finance and Operations.
Responsibilities:
- Provide heavy calendar management support and travel coordination for a three-person executive team.
- Coordinate travel arrangements for Blackbird Labs teammates as well as visiting external guests.
- Facilitate in-person meetings, including frequent visitors to the Blackbird office. Manage logistics for occasional special events.
- Support day-to-day operations including ordering supplies and performing general routine office duties.
- Support with expense reports; properly categorize financial transactions and maintain records of purchases via the financial platform Ramp.
- Conduct research, compile data, and prepare reports as needed. Assist with special projects and perform other duties as assigned.
Requirements:
- Bachelor’s degree in business administration or a related field, preferred.
- 3-5 years of experience providing administrative support to executive leadership, preferably in a biomedical research, non-profit, or life sciences environment.
- Strong organizational and multitasking skills with the ability to adapt, prioritize tasks, and meet deadlines.
- Excellent communication and interpersonal skills, with the ability to work effectively with people at all levels of the organization.
- Strong computer and software skills, including proficiency in Microsoft Office Suite with particular strength in Outlook email and calendar, as well as the ability to quickly learn and adopt other efficiency tools such as project management and CRM software.
- Ability to maintain confidentiality and handle sensitive information with discretion.

Start date is approximately March 1, 2024.
Location:
The position is required to be onsite in our Baltimore office Monday-Thursday; the team works from home on Fridays.
