What are the responsibilities and job description for the Office Manager-NJ CAP position at Blackwood Campus?
- Ability to work directly with people from diverse racial, ethnic, and socio-economic backgrounds.
- Responsible for managing and maintaining confidential state records including state personnel, mandated training, time, attendance, and data for DCF quarterly reports.
- Maintains office calendar for meetings, workshops, absenteeism, and staff activities
- Provides office efficiency by planning and implementing office equipment, phone, and general office work orders, maintenance, carpentry etc. by accessing School Dude and IT work orders.
- Coordinates annual Leadership Conference. Works with directors to select the venue, accommodations, food, and beverage all within budget. Acts as a key liaison between the venue and CAP. Creates folders and marketing materials for meetings and takes meeting minutes.
- Meetings – Responsible for all meeting minutes, calendar of events, and all materials needed by printing/copying, food, and beverages.
- Manages and maintains background checks and fingerprinting from CAP network, IdentGo, and state fingerprinting unit and updates network with current and or new procedures as well as facilitator clearance.
- Manages the network material orders of the program booklets/brochures including marketing materials.
- Maintains the network facilitator database which includes all facilitator information, dates for all program trainings, background checks, facilitator transfers, and resignations.
- Organizes and maintains office supplies
- Responsible for office correspondence, outgoing and incoming as well as invitations and reminders.
- Compiles all coordinator narrative reports for quarterly reporting to DCF.
- Generates, distributes, and files all curriculum certifications and re-certifications.
- Develops Google training forms and Excel registrations and manages enrollments.
- Batch and distribute to the network all training materials, booklets, and brochures and submit for accounts receivables
- Creates and distributes all photo network identification badges with Asure ID
- Construct all program training manuals, handouts, and promotional items
- Assists with recruitment and orientation for new employees
- Provide direct guidance and supervision to interns if needed and regulate and submits weekly time sheets.
Minimum Qualifications
- Associate’s degree in business or administrative studies, or equivalent combination of related training and experience.
- Strong organizational skills that reflect the ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail.
- Experience and proficiency in drafting professional correspondence.
This position requires constant mobility and one must be able to pick up (11-25 lbs).
Dexterity in working with computers is mandatory.
