The role of the Warehouse Asst. Manager is to lead all the activities to replenish inventory, pick pack product for all e-commerce channels and direct store deliveries and perform all other customary warehouse . The WAM will be responsible for the order fulfillment process and trucking management.

Essential Duties and Responsibilities:

Assist the warehouse manager in the following duties and take over when manager is not present

Replenishment Role:

  • Plan and order replenishment of products taking into consideration current on hand, historical demand and future requirements
  • Send replenishment request once a week to inventory specialist to execute replenishment
  • Minimize replenishments to no more than once a week and without expediting

Receiving Role:

  • Unload product from back of truck operating a forklift
  • Confirm receipt of product and identify any discrepancies from what was ordered to what was received. Any discrepancies are reported back to the inventory specialist in a timely manner.
  • Validate remaining expiration of product meets the requirements of our customers. Any issues are reported back to the inventory specialist in a timely manner
  • Identify any quality issues and report back in detail to the inventory specialist the sku’s in question and for each the issue, quantity and associated expiration date
  • Enter quantity received of each product into ship station software
  • Place product into racks and on the floor for future picking

Shipping Role:

  • Review list of orders to pack out from ship station software
  • Choose most cost effective shipping carrier
  • Print out pick and ship labels from ship station software
  • Review orders received via email from inventory specialist. Print out shipping labels to apply to cases
  • Organize pickers/packers to most efficiently fulfill orders
  • Pick product, place in appropriate box, tape box, apply necessary labels and segregate by shipping carrier and our DSD drivers
  • Greet shipping carriers and our DSD drivers and load trailer/vans using forklift or hand loading
  • Create bundled product orders. Pick and pack out appropriate number of bundles for future shipment

Quality Control Role:

  • Receive customer returns from various marketplaces such as direct to consumer, Amazon, Wal-Mart, etc.
  • Record by order #, the returned product, the quantity and whether the product can be returned back to stock or must be designated for disposal. Send report to inventory specialist
  • Update ship station inventory with returned back to stock quantities
  • Test returned product: If the product passes inspection and testing then repackage and put back into stock so it can be resold. If the product fails then it’s place in a defective bin.

Other duties include:

  • Order appropriate packaging materials to meet daily needs
  • Continuously identify and implement operations efficiencies
  • Follow quality service standards and comply with procedures, rules and regulations
  • Contribute to daily inbound and outbound warehouse operations
  • Efficiently and accurately pick, pack and ship single item and bulk orders.
  • Responsible for inventory management in an accurate and timely manner.
  • Verification of the material against picking list and system if necessary.
  • Stocking and storing all materials assigned by category in its corresponding location.
  • Maintain a clean and safe work area and update supplies as needed
  • Perform other tasks as needed
  • Communicate and cooperate with supervisors and coworkers
  • Lift 50lb. cases of water
  • Load and unload delivery vehicles

Qualifications and Education Requirements
· High School Diploma (GED) or higher

· Familiarity with modern warehousing practices and methods

· Ability to work overtime when required & meet deadlines

· Ability to critically think through problems with minimal supervision

· Ability to work in varying temperatures, depending upon season

· Good organizational and time management skills

· Experience with operating pallet jacks and forklifts

Physical demands

  • Must be capable of standing and/or walking for extended periods of time.
  • Must be able to lift up to 50lbs.
  • Must be able to unload 2-3 shipping containers daily
  • Must be able to utilize pallet jacks to move pallets and boxes

  • pallet jack: 1 year (Preferred)
  • forklift: 1 year (Preferred)

License:

  • Forklift Certified (not necessary)

Work Location:

Processing Orders (20% of time)

  • Process daily incoming orders all the to invoicing
  • Confirm Amazon and other marketplace orders are prepped and delivered on time.
  • Prepare the daily open orders report which tracks the status of the open orders by reviewing the carrier’s daily shipping log
  • Closely manage open orders reports to ensure all orders ship/close on time
  • Closely work with warehouses to ensure there are no missing orders
  • Review exception report for orders that did not close and manually close them
  • Assist with putting orders on hold and then releasing and closing them manually for the correct month they were delivered.
  • Ensure ecommerce orders are recorded accurately

Customer Service (10% of time)

  • Answer telephone/email in order to provide information about order status and products
  • Evaluate exceptions with deliveries and make the proper judgment on how to respond
  • Provide research and support for annual audit requests, as required.

Managing trucking (20% of time)

  • Source trucking providers, negotiate rates, and establish contracts
  • Seek the best truck rate for less than full truck load orders and event orders
  • Assist internal inventory transfers by finding the best trucking company to make the transfer

Invoice Processing (25% of time)

  • Manage the processing of freight invoices against established tolerances by ensuring carrier charges are following contractual obligations, provide detail on required payment to include cost center application on a timely basis.
  • Execute audits on any out of tolerance invoices to determine if any unplanned costs on invoices are valid to process for payment. Also, obtain authorization when the balance exceeds payment limits set by management.
  • Provide prompt feedback when researching carrier concerning outstanding invoices.
  • Follow up with service providers on missing invoices
  • Maintain Trucking file to reflect all new rates

Month End Accruals (10% of time)

· Determine what charges we need to accrue for at the end of the month that will not be received in time for processing. These need to be organized by account code and reported back to our Finance team for all trucking invoices.

· Coordinate with supplier A/R departments to ensure accuracy of invoices and month end estimates

  • Support trucking monthly/quarterly business review process

Reporting and Projects (10% of time)

· Report outbound trucking cost per case to share with the team

· Support overall supply chain planning, sales operations and expansion projects

  • Provide business insight into the monthly and quarterly results for trucking including forecasts
  • Create budget for trucking

· Create reporting and communicate insight for Supply Chain leadership team including metric development and dashboards

  • Identify trucking cost and efficiency opportunities
  • Perform Ad-hoc analytics and financial decision support
  • The collection, organization and analysis of real-time and historical data to enhance the performance of Customer Service & Logistics.

Job Requirements:

  • BS/BA required; preferably in Logistics Management, Supply Chain Management, Mathematics, Accounting, Finance or Business Management
  • Minimum of 3-5 years work experience
  • Highly organized and detail oriented
  • Excellent problem-solving skills
  • Ability to handle multiple projects simultaneously
  • Strong leadership, relationship building and communication skills.

· Excellent communication, writing and proofreading skills

  • High level of proficiency in Excel and MS Outlook.
