What are the responsibilities and job description for the Deputy Clerk I position at BLOUNT COUNTY?
Under close supervision Deputy Clerk I performs a variety of clerical and office functions. Professionally answer a vast volume of incoming telephone calls, assist the public and attorneys at the front counter by filing lawsuits and pleadings. Receipt court payments and enter data into computer. Additional responsibilities include, but are not limited to:
- Perform a variety of general office support functions;
- Answer high volume of telephone calls and respond to requests or transfers calls to appropriate parties or offices;
- Enter required data into the computer to properly set up high volume of new lawsuits and relay pertinent information and instructions for service of process;
- Process and/or prepare an abundant volume of legal documents, forms, and other various paperwork from jail and probation;
- Input required data into computer software to properly set up new citations;
- Issue summons and subpoenas when requested;
- Examine all paperwork for accuracy;
- Receive pleadings from attorneys;
- Interface with the public, attorneys, and judges while subsequently researching data and provide accurately specific information requested;
- Accept, receive, and/or collect payments for court costs and post payments into the appropriate computer system;
- Process immense amounts of money (currency of bills, coins, electronic payments, etc) with precise accuracy; and
- Perform other assigned duties as requested.
It is mandatory for Deputy Clerk I to:
- Implement adaptability skills throughout each work day;
- Possess a basic concept and knowledge of the principles and methods used in the specific office assigned to within the departments under the Circuit Court Clerk;
- Skillful in the use of small office equipment, including copy machines and multi-line telephone systems;
- Comfortable using computers for data entry, word processing, and accounting purposes;
- Maintain organized working space, projects, and assignments;
- Communicate calmly, kindly, and effectively with the public, colleagues, judges, lawyers, and other agencies;
- Bolster and sustain a professional demeanor with the public, colleagues, judges, lawyers, and other agencies;
- Routinely strive to deliver a positive and productive customer service experience;
- Cooperate with fellow employees to contribute towards the goals, policies, and procedures used within each department of the Circuit Court Clerk; and
- Adaptable and eager for opportunities to cross train.
MINIMUM REQUIREMENTS TO PERFORM WORK
- High School Diploma;
- Must willing to participate in office education program; and
- Valid driver’s license.
PHYSICAL DEMANDS
While performing the duties of this position, the employee is frequently required to sit, reach and manipulate objects, tools and/or controls. The position requires mobility. Duties may involve moving materials weighing up to 10 pounds on a regular basis. Manual dexterity and coordination are required over 50% of the work period while operating equipment, such as computer keyboard, mouse, calculator and similar machines.
WORK ENVIRONMENT
Most work is performed in a well-lighted, modern office setting with centrally controlled heating and air conditioning or outside in conditions which may include heat, cold, rain, or other inclement weather during field work assignments throughout the calendar year.
