Office Manager
The Office Manager is responsible for the administrative duties of an individual business segment of Blue Flame Gas Co. Inc and its related assets. This person directly supervises all administrative personnel, will work closely with company management to ensure the highest possible degree of customer service, employee satisfaction and company equity.
ESSENTIAL FUNCTIONS:
- Responsible for meeting all customer service objectives including customer satisfaction, operational standards and productivity guidelines.
- Provide ongoing training and coaching as to best practices in administrative and customer service related tasks.
- Help develop and implement strategic plans, which will assure the department meets productivity, sales, profit goals and objectives.
- Promote an environment where all division employees work toward commons goals and successes, through respect and appreciation for all employees.
- Promote and maintain highly effective internal communication systems.
- Promote adherence to all regulatory requirements, codes, and laws relating to the propane industry to minimize risk to our customers, employees and the company.
GENERAL RESPONSIBILITIES AND TASKS:
- Provide information for key internal communications.
- Insure all sales and journal postings are performed accurately, and timely.
- Insure customer accounts are set up accurately and completely.
Paperwork to include but not limited to Gas Check/Gas Agreement.
- Insure accurate Gain/Loss reporting in Ignite so as to accurately track customer count totals.
- Oversee credit and collection activities and insure both prompt payments as well minimizing customer losses due to non-payment.
- Minimize customer “run outs” and optimal deliveries through effective daily review of Delivery Exception Report.
- Oversee service scheduling and insure exceptional customer service thru day before call reminders, on time service appointments or communication of late appointments.
- Update, maintain, and contribute to the Blue Flame Policy and Procedures
Manual
- Communicate department success as well as operational opportunities to all levels of the organization, and maintain regular communication with all fellow managers.
- Other related duties as assigned.
REQUIRED SKILLS AND BACKGROUND:
- Prior administrative experience and the ability to lead in a fast paced environment. Candidate must be friendly, ambitious, and energetic with a desire to provide our customers with Exceptional Service.
- Ability to analyze issues and skillfully implement resolutions with input from internal and external experts, while balancing customer satisfaction with company equity.
- Must have strong verbal communication skills including active listening and a common sense approach to problem solving.
- Excellent organizational and follow up skills required.
- Must have intermediate computer skills and the ability to navigate various computer applications. (Personal computer- Windows, Word, Excel, other applications).
- Must have the ability to perform multiple tasks simultaneously such as rubbing tummy and patting head.
Job Type: Full-time
Pay: $52,000.00 - $60,000.00 per year
