This role is essential to ensuring smooth operations, supporting our administrative, marketing, and employee engagement functions. The ideal candidate will be a self-starter who excels at prioritizing tasks, meeting deadlines, and collaborating in a dynamic environment.
Responsibilities:
Office Administration:
- Coordinate daily office activities, including preparing and uploading reports, and organizing and facilitating meetings and conference calls to ensure efficiency.
- Manage office supply inventory and approve orders as needed.
- Support employee engagement activities, company events, and CPE coordination for staff.
Marketing & Event Support:
- Assist in creating and distributing marketing materials, proposals, and promotional items.
- Oversee social media updates and website content to ensure relevancy.
- Coordinate shipping for reports, proposals, and tradeshows.
Client Engagement & Documentation:
- Maintain and update client information and engagement records.
- Prepare and follow up on proposals, engagement letters, and client documentation.
- Support client onboarding and offboarding processes.
Financial & Data Management:
- Assist with billing, accounts payable/receivable, and data collection for reports.
- Process state and county tax filings.
- Help with account reconciliations and other financial tasks.
Qualifications:
- 2-4 years of experience in office administration, marketing, or a similar role.
- Strong organizational skills with the ability to manage multiple priorities.
- Proficiency in Microsoft Office Suite and familiarity with social media platforms.
- Excellent verbal and written communication skills with attention to detail.
- Familiarity with office management procedures and basic accounting principles.
- High level of discretion and ability to maintain confidentiality.
Education & Requirements:
- High school diploma or equivalent (BA/BS degree in business, marketing, or administration preferred).
- Valid driver’s license.
- Ability to work full-time (Monday-Friday, 8:00 am-5:00 pm).
