PACE is an innovative program designed to provide and integrate all acute, primary, preventive and supportive health services to high-risk individuals living in the community. Our goal is to keep our members living safely in their homes for as long as possible. We provide services in the community and at our PACE center. This positions hours will be 7:30 AM to 4:30 PM Monday – Friday.
Position Overview
The primary responsibility of the Front Desk Manager is to greet residents, employees, and visitors at the front desk, answer the telephone, manage petty cash funds, and perform administrative and general duties as assigned by the Administration team in a professional and pleasant demeanor. This position has no supervisory functions.
Essential Job Functions:
- Greet, assist, and direct participants, employees, and visitors at the front desk focusing on great customer service in a warm and friendly manner.
- Assist participants and visitors when possible within scope of authority.
- Direct participants and visitors to appropriate source to get their needs met or questions answered.
- Handle frequent interruptions and performs many tasks at once while remaining patient and focused on important tasks.
- Answer all incoming calls and direct to the appropriate person.
- Screen non-emergency calls as directed.
- Take phone messages when necessary and deliver to the appropriate person.
- Receive and distribute incoming mail, packages, and memos.
- Manage outgoing mail, postage machine, and postal records.
- Maintain and balance various logs and ledgers.
- Receive payments from participants, families and staff.
- Maintain petty cash and keys.
- Manage and maintain work-order requests, data entry and communication.
- Maintain and updates resident and staff directories as needed.
- Maintain various schedules, including those for room reservations, and meetings through software program.
- Assist administrative staff as directed.
- Maintain office supply inventory and workroom and order supplies when needed.
- Supervise and monitors participant and visitor sign in and sign out process. Give an account of all persons in the PACE Center at any time if needed.
- Trained and thoroughly acquainted with the emergency and disaster preparedness procedures and their role and responsibility in all situations. (Disaster Preparedness Flip Chart is stationed at the front desk at all times.)
- Document attendance by participants.
- Assist with scheduling participant appointments using medical record.
Qualifications and Experience:
- Must be at least 18 years of age
- Prefer two years’ experience as front desk manager or similar experience
- Must have good working knowledge of Microsoft Office Suite (Outlook, Word and Excel)
- Must be able to organize, prioritize and follow through on projects with little supervision
Must be accommodating, warm and welcoming, provide exceptional customer service
Physical Requirements:
Light Work – Exerting up to 20 pounds of force occasionally, and/or up to 10 pounds of force frequently. Requires walking or standing to a significant degree; or requires sitting most of the time but entails pushing and/or pulling of arm or leg controls.
Medical Clearance:
Employees must have medical clearance for communicable diseases and up-to-date immunizations before having direct participant contact. Must comply with Bluestem PACE influenza policy.
