Job Title: Sales Contract Administrator
Job Type: Full-time, hourly (non-exempt) position
Wage Base: Hourly starting pay between $21.00 - $25.00 (Bases on Experience)
Reports To: Sales Contracts Supervisor and/or Director of Sales
Job Summary
Under general supervision of the Sales Contract Supervisor, this position as a Sales Contract Administrator will require working closely with the Sales Director and all Sales personnel at all locations with attention to detail and accuracy.
Essential Duties and Responsibilities
- Review and verify that all documents necessary for a completed sale are obtained and accurate.
- Create Cash Sale invoices.
- Prepare delivery reports for Cash sale serial #d equipment.
- Analyze potential risks involved with specific contract terms.
- Assemble complete sales packets with copies of all costs for every stock number including contract and other related documentation as stated on Sales packet paperwork order.
- Update all stock numbers as required when sold.
- Manage the workflow of multiple outstanding sales contracts at one time.
- All other duties as assigned by Sales Director, Inventory Manager
Qualifications
Education and Experience
- High school or equivalent (required).
- Strong computer skills (e.g., Microsoft office suite).
- Typing skills preferred.
- Ten key skills preferred.
- Strong communication, written and verbal. Detail oriented, thorough & accurate.
- Good interpersonal skills.
- Must have 5 years or more working in Sales or Rental depts. for equipment dealership or a similar industry.
- Accounting Knowledge Necessary.
Required Knowledge, Skills, and Abilities
- Bilingual (English & Spanish) a plus.
- Ability to work independently as well as in collaboration with others in a positive and professional manner.
- Knowledge of general accounting principles, regulatory standards and compliance requirements.
- General math skills.
- Proficiency and ability to operate computerized accounting and spreadsheet programs.
- High degree of accuracy, attention to detail and confidentiality.
- Excellent data entry skills.
- Excellent analytical, problem solving and decision-making skills.
- Effective verbal, listening and written communication skills.
- Effective organizational, stress and time management skills.
- Demonstrates a sense of urgency and ability to meet deadlines.
- Must have a valid CA drivers license and clean DMV record with the ability to drive locally between work sites.
- Ability to manage multiple priorities in a fast-paced, dynamic environment, while maintaining a high level of detail is required on an ongoing basis.
- Flexibility and availability are required to work varied schedules with possible extended hours as needed.
Physical Requirements and Work Environment
While performing the duties of this job, the employee is frequently required to sit, use hands, use computer, use ten-key, talk, hear, talk on the phone, reach with hands and arms. It routinely requires the employee to walk, drive, stand, and bend at mid waist. The employee must occasionally lift and/or move up to 25 pounds. Specific vision abilities required by this job include close vision, color vision, depth perception and ability to adjust focus.
