What are the responsibilities and job description for the Operations Administrator position at Botanical Bus?
Botanical Bus is hiring for an in-person, full time (32 hrs/week) Operations Administrator to oversee day-to-day operations of our office and mobile clinic programs. The person in the role will interface regularly with our team of three Program Coordinators, seven Promotora Community Health Workers (CHWs), seven Herbal Apprentices and 60 volunteers, handling a wide array of administrative tasks and contributing to overall organizational function, communications and wellbeing. Bilingual professional proficiency in Spanish and English required and preference given to bicultural individuals who identify as Latine and/or Indigenous. Must be available for regular Saturday and occasional evening programming. Compensation includes 100% employer paid health and dental coverage and employer contribution to 401k retirement plan.

What You’ll Do
- Communications:
- Engagement of bilingual, bicultural teams, partners, donors and clients
- Preparation and review of program outreach materials, clinical intake forms and exit surveys
- Edit, format and create original content for online website calendar, blog posts, forms, newsletters and annual reports
- Representation of organization at community, coalition, and development meetings and events
- Trauma informed facilitation and meeting planning

General Administration Finance:
- Collaboration across programs for efficient workflow
- Oversight of budgets and management of monthly accounting systems including expense reporting and accounts payable and receivable
- Payroll processing and support of executive director in approval of time sheets, healthcare benefit enrollment and compliance with organization policy and procedure
- Review and maintain compliance with regulations, contracts and financial audits
- Coordination of schedules and management of program calendars
- Management of supply orders and inventory for all programs
- Support of programming at mobile clinics, wellness workshops and trainings

Development Contract Management:
- Preparation of service proposals and support of grant applications and reporting
- Support of donor engagement plans

Data Systems Information Technology
- Specialization in Salesforce customer relation management software to support development of a new database that supports clinical referrals and case management
- Management of data collection and entry systems for clients, volunteers, donors and partner organizations
- Technological support to Promotora Community Health Worker team

Experience You’ll Bring
- Minimum 4 years’ experience working in non-profit operations administration preferably in the healthcare sector
- Specialization in Salesforce, and some experience with Trello, WordPress, Canva and text message outreach software

- Excellent communication and writing skills
