Position Summary: This position provides marketing assistant support within a very busy law firm Business Development and Marketing Team. Typical assignments will involve the firm’s intranet, collateral materials, special events, local PR activities and writing projects. We pride ourselves on delivering superior service to department employees, internal customers, associates, partners and external clients. The incumbent will perform various duties to aid in ensuring an efficient and productive team while adhering to specific Firm and office policies, workflow and procedures.
Responsibilities:
- Attorney profiles – maintain current, up-to-date and accurate descriptions and information on all our firm’s attorneys. Coordinate all new bios for incoming attorneys.
- Coordinate and submit Continuing Legal Education (CLE) applications for appropriate credit based on attorney requests, ensuring compliance with jurisdictional requirements.
- Collateral Material – prepare packets of marketing materials for client outreach and meetings and log activity, maintain library of materials, assist with PowerPoint presentations.
- Intranet – support and write content and postings.
- Public relations – press release support, new attorney announcements. Track and record all firm and individual awards; maintain PR contacts and editorial/award calendars.
- Specialty items –inventory, identifying new items, ordering and request fulfillment.
- Event support, internally and externally.
- Assist with minor updates to firm website and printed materials, as well as back up for website posting.
- Track and record media placements and speaking engagements.
- Inventory management/ordering of branded stationary, business cards, letterhead and other materials for firm-wide needs.
- Assist with department vendors such as printers and photographer and project tracking. Includes processing invoices and department expenses.
- Other marketing duties and special projects, as assigned.
Position Requirements:
- Superior customer service skills (energetic, resourceful, problem-solver).
- Advanced verbal and written communication skills required.
- Excellent organizational and time management skills.
- Proficient in Microsoft Office Suite programs; PowerPoint and/or InDesign experience a plus.
- Impeccable attention to detail.
- Comfortable with electronic communication tools and web platforms.
- Ability to effectively manage multiple projects and priorities; shift tasks quickly and seamlessly.
- Ability to work independently.
- Ability to work with multiple internal and external client personalities and demands.
- Ability to maintain confidentiality on issues relating to the firm, its employees and the practice.
- Display a ‘whatever it takes’ attitude.
- Flexible and able to adapt to shifting priorities.
Education and Experience:
- Bachelor’s degree in marketing, communications or similar business-related field.
- 1-2 years related marketing or professional services experience preferred.
- Previous experience working in a team environment required.
Working Conditions:
- Professional office environment.
- Heavy computer use.
- Frequent interruptions from attorneys and staff.
- Specific deadlines and timetables.
- Ability to work occasional overtime as priorities dictate.
- Ability to lift 30 lbs.
