INVOICING COORDINATOR
Our team in Lancaster currently has an opening for a Invoicing Coordinator
YOUR ROLE & RESPONSIBILITIES
Invoicing:
- Invoice Daily for local branches.
- Notify headquarters when invoicing is complete, and they will enter invoice edit report for branch.
- Enter invoice edit reports and provide to Branch Manager for review.
- Liaise with Branch Manager to have invoices removed from invoice hold within 48 hours.
Accounts Receivable:
- Work with and resolve customer’s questions/issues with invoices
- Supply customers with proof of deliveries/copies of invoices
- Create credit memos and process following guidelines set by management
- Work with the Credit Department on problem invoices, call customers requesting payment on invoices
Internal Invoice Distribution:
- Assist Sales Representatives with customer short paid invoices, ensuring to keep all short-paid invoices up to date.
Bill of Lading Reports:
- Run and distribute Open Bill of Lading Report daily for all branches; including Customer Service and Operations
- Locate and track all bills of lading that have been delivered but not invoiced daily
- Work with the warehouse and the customer service team to find and change dates on any bills of lading not delivered that will be delivered on another day and change to correct delivery date
- Must enter and track comments with the reasons for any necessary changes
- Every bill of lading that has been delivered must be invoiced on the day of delivery.
- Work with the corporate direct ship department to obtain proof of deliver weight from customers weekly
YOUR PROFILE
Education and Experience:
- This position is in office full-time. Can be performed from any Brenntag Southwest branch.
- A minimum 3 years of experience in a high-volume invoicing environment.
- Experience in chemical distribution is preferred.
- Accounting and inventory background preferred.
- Expertise in Bill of Lading and industry standards in distribution.
- Excellent problem-solving skills and acute attention to detail.
- Ability to prioritize work to meet time-sensitive deadlines.
- Exceptional written and oral communication skills.
- Superior follow up and follow through capability.
- Ability to multi-task and effectively communicate with internal and external stakeholders.
- Superior level of skill in Microsoft Office Suite. Working knowledge of AS/400 or SAP required.
- An effective team player who is flexible, professional, and mature.
- Must pass criminal background screening, e-verify, and pre-employment drug screen.
