This individual will handle planning, scheduling, and coordination for virtual and live meetings and conferences across all Brightview locations. Job Responsibilities
- Assist the C-Suite with managing and scheduling appointments
- Welcome visitors and guests to our corporate location
- Assist the C-Suite with written communications
- Prepare and mail packages and communications
- Draft reports for the C-Suite as needed
- Take minutes for various meetings
- Provide administrative management for the corporate office
- Assist the C-Suite with preparation and distribution of agendas and agenda materials
- Assist with special leadership projects that arise including logistical arrangements, preparing invoices, and other ad-hoc tasks
- Negotiate and review all meeting contracts with hotels for annual conferences and other meetings as required
- Handle all travel and hotel arrangements for staff and volunteers, including, but not limited to the following: flight reservations for staff members, sleeping/meeting rooms reservation, audio visual needs, food and beverage, and virtual meeting options where necessary
- Serve as onsite point-of-contact during annual conference and committee meetings
Job Qualifications
- Minimum 2-10 years of experience as an Executive Administrative Assistant
- Bachelor's degree preferred but not required
- Strong written and verbal communication skills
- Demonstrated proficiency in PowerPoint, Excel, and Word
- Certified Meeting Professional (CMP) – Preferred
