Staffing & Training Coordinator
SUMMARY
The Staffing & Training Coordinator is responsible for assisting the community in all areas related to the coordination of hourly recruitment, state-mandated training, onboarding, scheduling & staffing, recruiting and retention. This position works in cooperation with the Executive Director and Dept Heads to ensure these functions are effectively managed and carried out. The position may encompass all facets described or may be tailored to the community needs to incorporate specifically identified items below.

Recruitment & Retention
- Compliance: Ensures all Federal and State policies governing recruiting is closely monitored and implemented timely.
- Leads weekly recruitment meeting with ED/Dept Heads to maintain Recruitment Grid and overall grasp of current and upcoming vacant positions.
- Places recruitment ads through ADP platform after determining with leadership team, any unique needs to draw candidates – sign-on bonus, ad verbiage, experience specifics.
- Reviews candidates for open positions in ADP daily and schedules interviews for self and necessary leadership according to community schedule.
- Manages interview process to ensure rapid applicant to meeting conversion and ensures candidates experience all interviews in one visit and the experience is positive.
- Manages hire offer, pre-hire process to ensure accurate, compliant and rapid offer to start date conversion.
- Coordinates with hiring managers, completion of all pre-hire tasks, including reference checks.
- Orders and manages all associate swag needed for interview and hiring process.
- Coordinates 30/60/90-day connection with new hires with department heads and gathers documentation for review and follow up for leadership team monthly.
- Works with BOD to assure compliance of personnel files and all new hire paperwork is completed within time constraints.
Training
- Schedules and prepares for community orientation program and ISL & You, as coordinated with other community leadership.
- Prepares and presents all pre-hire and orientation documentation to Business Office Director for associate files.
- Orientation Checklist: Work with Dept Heads to assure orientation checklists are complete for each new hire and provide completed checklists to BOD for placement in associate file.
- Maintains training program files, supplies, documentation as directed by the Executive Director and the Business Office Director.
- Obtains and maintains required state training certifications for community licensure mandated training programs.
- Schedules and conducts required state training programs and coordinates clinical or other department needs with community leadership.
- Reviews and provides community leadership with Relias training monthly follow up needed for each department compliance.
Staffing Coordination
- Prepares master schedule format according to community budget in collaboration with respective Department Heads and Executive Director.
- Hires into open master schedule slots and communicates schedule to newly hired associates.
- Prepares ongoing staffing schedules for assigned department(s) for review and approval.
- Reviews daily time records for departments assigned, gathers documentation and makes requisite changes in payroll system to ensure labor hours are captured timely and accurately.
- Reviews Tableau Labor Report weekly and provides guidance to community team on hours adjustments, overtime management.
- Optional: may be assigned as additional duties based on community operational needs as determined by the Executive Director.
- Rotates leading daily staffing coverage replacements with assigned department head(s).
- Manages communications with agency services and staff to ensure approved, financially appropriate coverage.

MINIMUM QUALIFICATIONS
High School Diploma or equivalent. Certifications as required by the state.
Six months recruiting experience or direct hiring experience.
