Executive Administrative Assistant

We are looking to add an Executive Administrative Assistant to our team of exceptional talent to be the force that empowers our executive team. The ideal candidate will be a proactive problem solver with outstanding communication skills and a meticulous attention to detail. This person will be confident, assertive, flexible, and exhibit a high degree of discretion. This is an opportunity to support both the legal and business responsibilities of senior leadership, ranging from marketing- to case-related projects.
Objectives of this Role Include:
- With a primary responsibility of supporting a Managing Partner, provide support to the Leadership Team as directed to ensure Firm and case goals and objectives are accomplished and operations run efficiently.
- Manage the Managing Partner’s administrative functions, calendaring, and correspondence requiring a high degree of discretion and executive secretarial and technical skills.
- Organize and maintain files related to the operations of the Firm to ensure the Managing Partner’s priorities are met, Firm goals are achieved, and best practices are upheld.
Daily and Weekly Responsibilities:
- Manage and coordinate professional and personal scheduling for Managing Partner, including email, agendas, mail, calls, travel arrangements, client management, and other company logistics.
- Coordinate complex scheduling and extensive calendar management, as well as management of content flow of information to senior executives.
- Generate, prepare, and organize documentation, requisite to management of the Firm and, to a lesser extent, the litigation practice.
- Input attorney time utilizing the Firm's time entry software.
- Maintain knowledge of Firm operating procedures, departments, and support areas.
Skills and Qualifications:
- 5 years of high level executive assistant experience (legal or non-legal).
- A high degree of discretion is required.
- Proficient with office technology and conferencing equipment, specifically Zoom and Teams, and Microsoft Office software.
- Ability to prioritize, show strong attention to detail, and work efficiently in a fast-paced work environment where strict deadlines are common.
- Someone with foresight, who actively seeks opportunities and proposes solutions.
- Excellent written and verbal communication skills.
