Job Summary:
We are a group of 2 well-established restaurants on Clement Street (Burma Superstar, B Star Bar) and have around 100 employees. Reporting to the Finance Manager, the Office Assistant is responsible for providing effective and sufficient support in Finance/Admin/HR. Working hours are 30-40 hours/week, 9:30 AM - 5:30 PM, Monday to Friday.
Responsibilities:
Finance/Payroll/HR:
- Verifying daily sales reports and tips allocation.
- Managing bank deposits and making vendor online payments.
- Entering vendor invoices into QuickBooks.
- Categorizing monthly credit card expenses.
- Reconciling to-go ordering platform sales vs payments received.
- Providing data support to semi-monthly payroll processing.
- Auditing employees' paperwork and collecting missing or expired documents.
Admin:
- Cleaning and organizing the office to ensure it’s clean and organized.
- Provides administrative support to ensure efficient operation of the office.
- Answering, screening and forwarding phone calls and voicemails.
- Monitoring the stock of office supplies and placing orders.
- Collecting and screening mails.
- Ordering and picking up lunch for office staff.
- Helping planning employees’ birthday celebrations and company parties.
- Supports team by performing tasks related to organization and strong communication.
- Ensures operation of equipment by completing preventive maintenance requirements, calling for repairs, maintaining equipment inventories and evaluating new equipment and techniques.
- Maintains supplies inventory by checking stock to determine inventory level, anticipating needed supplies, placing and expediting orders for supplies.
- Providing graphic support for the business
- Graphic design skills-making labels, making signs and supporting marketing materials
Required Skills/Experience:
- Proven experience as a back-office assistant, office admin, Accounts Payable, Finance Assistant, or another relevant role.
- Experience with QuickBooks, ADP, Toast POS is highly preferred.
- Proficiency in using Excel, Word, Google Drive.
- Proficient in using English as a working language, Spanish/Chinese speaking is a plus.
- Attention to detail, excellent organizational and time management skills.
- Personable, friendly and comfortable with dealing with people.
- Physically comfortable lifting boxes up to 30 lbs each.
- Ability to communicate professionally and effectively
- Excellent phone, interpersonal, and organizational skills
