What are the responsibilities and job description for the Attendance Coordinator position at Bucks County Intermediate Unit?
To provide system integration and support for the assignment of day-to-day substitutes, recording all Bucks IU staff absences, and coordinating the automated calling system with IU operation and for contracted staff. Process contractor invoices and invoice districts as appropriate.
Essential Functions:
- Participate in the new HRMS Project Team planning and implementation.
- Plan and coordinate the use of a computerized substitute assignment system on a daily basis.
- Review Taleo for vacant positions to enter substitute requests for placement of substitutes in vacant positions until positions are filled with successful full time contracted or Bucks IU employee.
- Provide positive customer service to all Bucks IU staff and contracted staff and contracting agencies.
- Interface with Contracted Sub Service agency, including billing, telephone coordination, acting as liaison with Bucks IU and contracting agencies. Invoicing districts for employees contracted through Bucks IU.
- Track absences and produce various computerized reports, with report generator, to satisfy needs of Bucks IU customers.
- Maintain systems of internal controls to insure integrity of information and security of AESOP database. (Oracle and WillSub )
- Prepare employee attendance data for biweekly transfer to payroll system. Coordinate with payroll department on time of uploads.
- Review payroll reports for excess time taken and validate payroll deductions.
- Prepare Quarterly attendance tracking report for all Supervisors. Research database on inquiries regarding payroll, time used, leaves, etc. as requested by HR and Payroll departments
- Perform fiscal year end procedures in regards to attendance. Perform and maintain benefit day accruals across various classes, levels and increments of longevity of Bucks IU employees.
- Notify Bucks IU employees with excess benefit days, provide options to the employees and coordinate with payroll on the disposition of the excess days.
- Managers Jury Duty process and any employee inquires and payments.
- Facilitates and records any employee exit interviews.

Position Type/Expected Hours of Work: This is a full-time, 260-day calendar position. Days and hours of work are Monday through Friday. Hours of work are typically 06:00 a.m. to 2:00 pm except for summer hours which are 7:00-4:00pm. Hours are dependent on the needs of the districts.

Education and Experience:
- Level of Degree: Bachelor’s Degree beneficial
- Minimum of three years of related experience

- Strong computer skills, including word processing, spreadsheet, desktop publishing and database application software
- Strong interpersonal and collaborative skills
- Effective oral and written communication skills
- Ability to function independently with or without general supervision
