Position Overview:
Buttonwood Capital Management is a Scottsdale based independent financial planning, wealth management and strategic advisory firm focused on affluent clients. We are looking to hire an individual who will enhance the client experience by giving exceptional service and providing operational and administrative support to our firm and our clients. We are a small boutique office so you will get great exposure to all aspects of a leading investment business. Our Client Services Associate will be responsible for the day-to-day servicing of clients and account maintenance, which will involve both face-to-face and phone interactions with our valued clients.
This position carries opportunity for upside potential regarding increased responsibility and commensurate pay, bonuses, and title. Our ideal hire may be called upon to come in early and stay late as needed. The person we are looking for must be willing to engage in our client’s lives and contribute to the overall financial health of our clients and the health and growth of our firm.
In This Role You Will:
· Assist on the daily activities associated with client service and back-office operations.
· Partner with Advisors to ensure white glove service to clients.
· Prepare advisors for daily trades, account analysis, and client meetings.
· Collaborate with Advisors for proper client onboarding, with duties including client education (e.g., online account access) and proper account set up.
· Collaborate with Client Services Manager to develop and maintain procedures regarding workflow systems within CRM; identify ways to improve processes and workflow systems to promote efficiency and productivity across all the firm’s goals and objectives.
· Check custodian and client alerts daily and perform appropriate actions.
· Handle and process administrative paperwork for Advisor’s clients.
· Develop and maintain exceptional relationship with clients with the focus on client retention.
· Prepare conference room for client and prospect meetings.
· Answer, screen, and transfer inbound phone calls.
· Initiate and field daily client service calls.
· Maintain accurate notes and records in the CRM and internal document database.
· Greet clients and visitors. Offer and provide refreshments to clients and visitors.
· Handle and process daily mail: open and distribute; scan and file as needed; manage shipping.
· Maintain professional appearance of office communal areas including supply cabinet, filing cabinets, conference rooms and kitchen.
· Assist with special projects as needed.
Qualifications:
· Bachelor’s degree (or equivalent experience) preferably in business, accounting, finance, economics, or related area.
· 2 year of experience in client service and operations in the financial services industry.
· Capability and willingness to learn new computer skills and applications (must take the initiative to improve the understanding of any tools, mechanisms or processes that will enhance organization).
