What are the responsibilities and job description for the Administrative Assistant position at Calabrio?
This person will provide administrative support to 4 members of Calabrio’s sales leadership team as necessary including but not limited to managing schedules, and arranging appointments, meetings, conference calls, travel, etc. Work requires some analysis and use of initiative and candidate will have extensive latitude for independent judgment. May be called upon to interpret and communicate executive intent to other managers. At times, may have contacts of a sensitive, complex, and confidential nature. Have ability to work without supervision on highly complex projects.
What you’ll be doing
- Manage schedules and coordinate meetings, both in-person and virtual
- Prep leaders for meetings by having all relevant materials ready
- Coordinate with front desk regarding catering needs for meetings
- Arrange and coordinate domestic and international business travel
- Prepare expense reports for members of the staff as needed
- Organize and maintain contracts and agreement files
- Assists in the organization/management of corporate files
- Assist in coordinating leadership meetings, customer executive briefings, and other meetings as needed
- Assist in coverage of duties for the other executive assistants as needed (PTO or illness)
- Complete special projects and miscellaneous job-related duties as assigned
- Occasional work outside of normal business hours for special projects or events
- Other core expectations will be defined by your direct supervisor/manager
We’re looking for
- Experience with MS Office products: Outlook, Word, Excel, PowerPoint, Teams
- Exposure to enterprise systems (e.g., SFDC, Concur, Workday)
- Ability to work on multiple projects simultaneously
- Strong time management skills and ability to prioritize
- Strong oral and written communication skills
- Ability to handle high level confidential information
- Ability to interface with various executives, to manage schedules, commitments, and administrative duties for executives
Requirements
- 7-10 years of comparable experience – Associate’s or Bachelor’s degree preferred
- Experience in technology industry a plus
