Position: School Secretary and Assistant to the Head of School
Hours: 7:45-3:45 pm (half hour lunch) May require overtime for events
Pay: $22-$24 DOE
This is a year-round full time position.
MAIN JOB FUNCTION: To support Head of School with student recruitment, school promotion, student enrollment, family relationships and other tasks as assigned by the HOS.
Major Duties include but are not limited to:
Assist the HOS:
- Email contact with current and inquiring families as directed by the HOS to set tour appointments.
- Place orders and manage receipts and reporting to the finance department
- Support with special events (open houses, school events)
- Yearbook Parent Group Oversight
- Manage school calendar and schedule school events
- Manage the school announcement updates on the family webpage
- Emergency procedure management
- Assist Head of School as needed by managing her calendar, setting appointments, screening concerns.
- Ensure that our volunteers are screened, and all paperwork is up to date (manage sterling volunteers)
- Place hiring ads and assist the head of school by screening potential applicants and set appointments.
- Assist the head of school and the HR department in the onboarding process.
- Create and maintain all staff files.
- Along with the HOS, ensure that the morning drop off and afternoon pick up lines are set up and run smoothly.
Registrar:
- Oversee the application, registration, and enrollment process.
- Ensure that new families are guided through the application and registration process by following the workflow chart to ensure successful completion of the enrollment process.
- Work with the Financial Coordinator to ensure that all fees are collected during the application, reregistration, and new registration process.
Family Relationships:
- In collaboration with the HOS assist families when they have needs
- Assist families in navigating the enrollment process.
Office Support:
- Help current and inquiring families in the office as needed.
- Assist visitors as needed.
Website Management
- Small website updates and work with company for larger updates.
Payroll Support
- Ensure that employees have clocked in and out correctly.
- Fix time punches that are incorrect
- Have Employees sign their timecards.
- The Finance Department oversees payroll, but the secretary assists in answering questions and gathering information as needed.
Education:
o BS or BA Degree (Preferred)
Experience and Expertise:
o A minimum of two years in an administrative support or leadership position (preferred)
o Experience working in an elementary school setting (preferred)
o Ability to work effectively and oversee the front office procedures and policies
o Up to date with current Professional Development
o Ability to work with many types of personalities.
o Excellent oral and written communication skills
