The Director of Prospect Management and Research will oversee and manage the donor and prospect pipeline to enhance and increase the effectiveness of philanthropic outreach to prospective donors with the highest potential to engage with and support the University's mission.

Major duties and responsibilities

Prospect Management
  • Work in partnership with Philanthropic Giving and Advancement Services professionals and division leadership to strategize in support of campaign and institutional goals.
  • Organize and facilitate regularly scheduled donor strategy meetings and prospect portfolio meetings.
  • Collaborate with the team during strategy meetings to develop cultivation and solicitation strategies and facilitate moves management.
  • Identify new donors for major gift initiatives through proactive research and present findings at strategy meetings.
  • Make informed recommendations regarding assigning, cultivating, and soliciting potential major donors, seeking to maximize fundraising potential.
  • Monitor use of prospect management systems to ensure accuracy, consistency and compliance with policies and procedures. Take leadership role in ensuring enhanced use of and improvements to the prospect tracking systems.
  • Collaborate with Advancement Services and Operations leadership and Philanthropic Giving leadership to design and implement effective prospect, moves, and fundraising metrics tracking reports and dashboards. Use technology and tools available to enhance data-driven decision making.

Prospect Research
  • Identify, evaluate and recommend current and potential major gift prospects and assess their ability to financially support CSUSB colleges/programs via major gifts.
  • Conduct in-depth research and analysis of biographical, philanthropic, professional and financial information of donors and prospects using internal and external databases, internal files, electronic screening data and online resources to gather, synthesize, and analyze often complex information in support of the development/major gift program.
  • Prepare and/or review detailed profiles, rating memos, event bios and qualified lists for fundraisers, senior staff and volunteers to support the cultivation of prospective donors and key volunteers.
  • Perform quantitative analysis to determine capacity ratings based on financial data and asset values to qualify prospects and recommend gift solicitation amounts.
  • Oversee the tracking of prospects and donors through monitoring daily news and online "alerts" and utilizing internal information. Use push technology to track news and insider stock holdings on donors and alumni as well as provide pertinent information to the appropriate relationship manager.
  • Manage and mentor the Research Coordinator. Supervise and procure training in information resources and strengthen professional development of Research Coordinator.
  • Manage the research effort by establishing priorities. Assign research requests and ensure that all deadlines are successfully met.
  • Coordinate proactive research including mining electronic screening results. Facilitate the research process through the supervision and maintenance of research forms, documentation, databases, and ensure quality control of relevant prospect information entry into the database.
  • Oversee and make purchase and subscription recommendations regarding research resources (hardcopy and electronic) and keep abreast of current development research trends while sharing new ideas and resources with other University Advancement team members.
  • Maintain the research resources library and a list of resources in the Prospect Management Reference Guide
  • Identify potential donor's associates and acquaintances through relationship mapping to facilitate institutional engagement.
  • Collaborate with the Director of Gift and Data Services in leading implementation efforts of predictive modeling and related prospect identification tools.

Establish & Implement Policies and Procedures
  • Coordinate all research and prospect management aspects for University Advancement, including creating and implementing procedures, managing the research policies and procedures manual, maintaining the research request database, directing proactive research and making the research process increasingly effective by meeting the needs of the Advancement team.
  • Enhance the understanding of research by the Philanthropic Giving staff through effective communication and training. Represent the research team at meetings and communicate research techniques and procedures.
  • Participate in professional associations such as the Association of Professional Researchers for Advancement (APRA) and the Council for Aid and Support of Education (CASE), both to increase knowledge and skills and to find best practices from colleagues outside of CSUSB.
  • Oversee constituent management efforts related to prospective donors and ensure data integrity of prospect and alumni contact reports in the Advance database. Safeguard the confidentiality of constituent information. Adhere to ethical and confidentiality guidelines of CSUSB and APRA as well as laws and regulations.

Minimum Qualifications: Required Education and Experience
  • Education: Bachelor's degree
  • Three (3) - five (5) years of experience in prospect management and research within higher education or nonprofit fundraising field required.

Required Qualifications
  • Advanced computer skills (especially Microsoft Office applications) and proficiency with industry standard tools of prospect research including subscription databases (LexisNexis, iWave, Wealth Engine, etc.), free online tools, and other reference resources.
  • Experience in using a complex donor/customer relationship database system.
  • The ability to be strategic, identify connections, develop written reports to communicate findings, and maintain multiple projects and priorities in a collaborative working environment with competing deadlines is essential.
  • Excellent verbal and written communication skills and working knowledge of terminology related to fundraising, prospect development, campaigns, and gift vehicles are required.
  • Demonstrates initiative, adaptability and flexibility; anticipates and effectively handles change.
  • The candidate must demonstrate the interpersonal and listening skills to establish positive and productive relationships with internal and external clients and partners.
  • The successful candidate must be able to competently interact with a culturally and ethnically diverse population of students, faculty, and staff.

Preferred Qualifications
  • Previous supervisory/managerial experience.
  • Proficiency with Ellucian's Advance or three (3) to five (5) years experience using a similar CRM/relational database.

Compensation and Benefits:

Anticipated Hiring Range: $95,000 - $105,000 per year

Classification Salary Range: $54,996 - $176,556 per year

The CSU system provides a comprehensive benefit package that includes medical, dental and vision plans, membership in the California Public Employees Retirement System (CalPERS), sick and vacation time, and 14 paid holidays a year. Position Information:

Work status: Full-time/Exempt/At-will

Schedule: Monday - Friday 8:00 am - 5:00 pm weekends and evenings may be required.

This is a full-time management (MPP) position. MPP employees serve at the pleasure of the campus President. MPPs do not serve a probationary period and never receive permanent status.
