What are the responsibilities and job description for the Receptionist position at Cancer Center of Kansas?
SCOPE:
Responsible for greeting and checking-in patients and visitors in a prompt, courteous, and professional manner. Acts as a patient ambassador, ensuring patients are delivered to their appropriate appointment. Serves as liaison between patient/ visitor and other staff.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
- Serve patients and visitors of the clinic by greeting, welcoming and directing as appropriate and in a prompt, courteous, and professional manner upon both arrival and departure.
- Notify appropriate departments or company personnel of patient/ visitor arrival, per current policies and procedures.
- Inform visitors by answering or referring their inquiries.
- Utilize our current practice management system (PM) to check-in and mark no-show appointments, as necessary.
- Obtain all executed patient forms and direct it to the appropriate department.
- Assist in sorting, distributing and coordinating office mail and deliveries, as necessary.
- Address or communicate and coordinate, as necessary, with the appropriate Executive Team member when receiving patient/ visitor concerns.
- Identify patient demographic information that may need updated or verified in electronic medical record (EMR) and/ or PM system.
- Refer patients to the Business Office for co-pays, payments or insurance information, as necessary.
- Distribute information to patients on patient portal and enters into EMR for meaningful use.
- Demonstrate an understanding of patient confidentiality to protect the patient and clinic.
- Follow policies and procedures to contribute to the efficiency of the front office and visitor guidelines.
- Cover for other front office functions, as requested.
- Receive training on and demonstrate understanding of all company compliance requirements.
- Answer phone in prompt, courteous and professional manner and direct phone calls to the appropriate department or staff member.
- Maintain reception and lobby area in a neat and orderly condition.
- If necessary for location, collect co-pays, issue co-pay receipts and forward payments and other necessary documents to the Business Office for reconciliation.
- Perform other tasks as reasonably requested by the Executive Team.
ADDITIONAL SKILLS AND ABILITIES:
- Ability to read, understand and follow oral and written instructions.
- Ability to sort and file materials correctly by alphabetic and numeric systems.
- Ability to deal courteously with patients and staff.
- Ability to operate a telephone system and utilize appropriate telephone etiquette.
- General knowledge of standard office equipment such as computers, fax machine and copier.
- General knowledge of medical terminology.
- Ability to speak clearly and concisely. Ability to hear sounds concisely
QUALIFICATIONS:
Experience working with other employees in a dynamic environment is desired
PHYSICAL DEMANDS:
The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions. Work may require standing and sitting for long periods of time; also stooping, bending and stretching for files and supplies. Occasionally lifting files or equipment weighing up to 35 pounds. Requires manual dexterity sufficient to operate a keyboard, calculator, telephone, copier and other office equipment. Vision must be correctable to 20/20 and hearing must be in the normal range for telephone contacts. It is necessary to view and type on computer screens for prolonged periods of time.
