What are the responsibilities and job description for the Office Coordinator position at Candidate Source?

Candidate Source has an opening for a Project Assistant with a commercial construction firm that is based in Richmond, VA. As a Project Assistant you will help manage the day-to-day flow of the office and support the management team with client requests.

Key Responsibilities:

  • Serve as the first point of contact for our office, greeting visitors and managing phone communications with professionalism.

  • Coordinate the creation of subcontractor contracts and maintain up-to-date trade specifications.

  • Manage comprehensive project documentation, including subcontractor lists, cost sheets, drawings, and permits.

  • Facilitate logistics for field personnel, including scheduling accommodations and arranging transport.

  • Oversee company assets, including tools, inventory, and vehicles.

  • Assist with project coordination tasks, such as material orders and minor plan takeoffs.

General Knowledge & Skills:

  • Outstanding communication skills, with the ability to interact positively with customers, suppliers, and team members.

  • Strong organizational skills to handle large volumes of information efficiently.

  • Proficiency in Microsoft Office Suite (Excel, Word, Outlook).

  • Capable of managing multiple tasks simultaneously with attention to detail.

  • Previous experience in a construction environment and/or a Notary License is a plus.
