Legal Receptionist
Capella Immigration Law, PLLC is a law firm located in Orlando Florida that provides personalized legal assistance to individuals, families, and business owners with all immigration, visa, and citizenship matters. We offer comprehensive and thorough representation, so that our clients have the opportunity to become productive citizens in this country. We are seeking a full-time Legal receptionist to join our team. The ideal candidate must meet the following requirements and must be able to fulfil all responsibilities:
Language
- Must be fluent in written and spoken Spanish and English.
Primary Duties
On an everyday basis the Legal Receptionist will perform the following duties:
- Scheduling Consultations for attorneys.
- Confirming appointments scheduled at least one day in advance.
- Answering, screening, and routing all incoming calls. Taking and delivering related messages.
- Updating and managing attorneys’ calendars.
- Maintaining and updating tracking charts for all referrals, current, and potential clients.
- Pleasantly and professionally greeting all visitors, clients, third parties, and vendors.
- Processing phone and in person payments. Maintaining related records to provide to managing attorney for accounting purposes.
- Following up with clients regarding outstanding/late payments.
- Maintaining a clean and organized reception.
- Filing documents in the client’s physical file.
- Drafting retainers for clients.
- Creating physical files for new clients, organizing, and filing related paperwork for that file.
- Drafting simple correspondence in English and second language as well as template letters with guidance and supervision of the assigning attorney.
- Following up with clients with guidance and supervision of the assigning attorney.
Qualifications:
- Passion for immigration law and belief that the United States is a nation of immigrants, and immigrants makes this country a better place to call home.
- Attention to detail.
- Ability to work in an extremely high paced work environment.
- Organized.
- Ability to multitask.
- Prior experience in customer service preferred.
- Cheerful demeanor.
- Professional Presence.
- Computer knowledge / Microsoft Office.
- Ability to make a great first impression.
- High school diploma or equivalent.
- Candidate should be patient, diplomatic, tactful, and able to deal with an array of personalities, cultures, backgrounds, and situations.
Salary
- $15 - $18 / per hour DOE
Schedule
- In person, Monday through Thursday 8:00am – 6pm. (all Fridays off)

- Paid time off: You will be eligible for 1-week of paid time off after being employed with the company for a minimum of 6 months. This will increase to 2 weeks after your first anniversary with the company.

- Paid Holidays: Our office closes for all Federal holidays. After the probationary period, all Federal holidays will be paid holidays.
