Position Title: Executive Operations Manager Department: Operations Reports To: Chief Operating Officer (COO)
Position Overview: The Executive Operations Manager at Capitol City Residential Health Care (CCRHC) plays a vital role in ensuring the efficient management of various operational aspects, particularly focusing on the Therap system. This position requires a detail-oriented and proactive individual responsible for managing Individual Service Plans (ISPs), developing training materials, tracking licensing and credentialing, preparing for audits, assisting with the procurement of new funding opportunities, and completing monthly reports for the Division of Intellectual and Developmental Disabilities (DIDD), Employment and Community First (ECF), and Choices populations. Additionally, the Executive Operations Manager will be cross-trained for medical management oversight. The Executive Operations Manager will report directly to the COO.
Key Responsibilities:
Management of Therap:
- ISP Review and Accuracy: Pull and review Individual Service Plans (ISPs) for accuracy and completeness.
- Acknowledgment of Plans: Ensure timely acknowledgment and distribution of ISPs to relevant teams.
- Goal Entry: Accurately enter goals into the Therap system.
Development of Training Materials:
- Training Documents: Develop and update individual training documents to reflect current goals and objectives.
Tracking Licensing and Credentialing:
- Tracking Dates: Assist with tracking licensing, credentialing dates, and recertification.
- Preparation: Prepare for licensing, credentialing, and audits to ensure compliance with regulatory standards.
Compliance Audits:
- Quarterly Audits: Conduct quarterly compliance audits for operations using the DIDD Quality Assurance tools.
- Reporting: Provide detailed reports of audit findings to the COO.
EZ Pro Management:
- Goal Entry: Enter goals accurately into the EZ Pro system.
Incident Review and Reporting:
- Weekly Review: Conduct weekly reviews of incident notes and tracking reports to identify trends and report concerns to the COO.
Funding Opportunities:
- Research and Procurement: Assist with researching and procuring new funding opportunities to support CCRHC programs and initiatives.
Monthly Reporting:
- DIDD, ECF, and Choices Reports: Complete monthly reports for the DIDD, ECF, and Choices populations, ensuring accuracy and timeliness.
Medical Management Oversight:
- Cross-Training: Participate in cross-training for medical management oversight tasks, ensuring compliance with healthcare standards and protocols.
Additional Responsibilities:
- Perform other operational duties as assigned by the COO.
Qualifications:
- Bachelor's degree in a related field or equivalent work experience.
- Strong organizational and multitasking skills.
- Excellent attention to detail.
- Proficiency in using Therap, EZ Pro, and other relevant systems.
- Ability to work independently and as part of a team.
- Good communication skills, both written and verbal.
- Experience in healthcare or residential care settings preferred.
