Job Title: Community Assistant

Reports To: Assistant Director of Resident Services

Location: South Campus Commons - University of Maryland 

FLSA Status: Non-Exempt Student Position. Position not eligible for benefits

 

The Community Assistant is responsible for the smooth running of a 24 hour Service Desk including providing service to residents, forwarding emergency calls, monitoring the safety of the building, managing the key loan process, and logging/distributing packages.   

Essential Duties and Responsibilities

  • Attend all staff meetings and training programs.
  • Attend individual meetings with supervisor on an as needed basis
  • Make use of resources that will enhance individual and staff development.
  • Respond to phone calls and/or e-mails from supervisor(s) within 24 hours

    Customer Service
  • Respond to resident inquiries.  If answer is not readily available, find the answer by contacting appropriate office or supervisor.
  • Answer phone in a professional manner.
  • Maintain package log, notify residents of packages and distribute packages.
  • Maintain careful key and swipe documentation.
  • Distribute keys and swipes to residents after confirming identity.
  • Enter work orders and take appropriate action based on level of emergency.

Scheduling

  • Collaborate with fellow staff to create a schedule for desk coverage.  Work all hours assigned with minimum of three (3) shifts per week
  • Collaborate with fellow staff to cover all weekend hours, with the understanding of working a minimum of one (1) weekend per month. Consult with supervisor as soon as possible if difficulties are encountered.
  • Cover at least one graveyard shift per week (12 midnight– 3 am or 3 am – 6 am).
  • Find coverage for your shift if you need a schedule adjustment due to a schedule conflict or illness at least 24 hours in advance.
  • Cover assigned shifts for holidays and breaks (i.e. Thanksgiving, Winter Break, Spring Break and Summer Break).

Shift Duties

  • Complete all assigned tasks during each shift.
  • Complete all assigned projects from the Main Office, the Leasing Office, and/or the Maintenance Office or supervisor(s).
  • Document all work in desk log.
  • Maintain a tidy and organized work space.

Emergencies

  • Contact appropriate staff in case of emergency.  
  • Report to the desk in the event of an emergency.
  • Review emergency information provided at desk on a regular basis.
  • In case of an emergency resulting in voluntary evacuation, you must remain to cover your regular scheduled shifts and assist as you are available with additional emergency response duties.
  • Ensure the safety and security of the building.
  • Other duties as assigned

  • Education and/or Experience: Currently enrolled student at University of Maryland, College Park. 
  • Language Skills: Ability to read and comprehend simple instructions, short correspondence, and memos.  Ability to write simple correspondence.  Ability to effectively present information in one-on-one and small group situations to customers, clients, and other employees of the organization.
  • Mathematical Skills: Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals.  Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.
  • Reasoning Ability: Ability to apply common sense understanding to carry out detailed but uninvolved written or oral instructions.  Ability to deal with problems involving a few concrete variables in standardized situations.
  • Computer Skills: To perform this job successfully, an individual should have knowledge of Microsoft Word, Excel and Outlook.
  • Other Skills and Abilities: Ability to operate basic office equipment including photocopier, fax, and telephone.  Basic typing and computer skills.

While performing the duties of this job, the employee is regularly required to stand; walk; use hands to finger, handle, or feel; reach with hands and arms and talk or hear. The employee is frequently required to climb or balance and stoop, kneel, crouch, or crawl. The employee is occasionally required to sit.  The employee must occasionally lift and/or move up to 50 pounds. Specific vision abilities required by this job include close vision and distance vision.
