Primary Purpose of Position:
As a member of the Total Rewards/Compensation team, this position will provide overall employment and compliance support for HR operations and processes, and will perform a wide range of analytical, problem solving, and support activities in the compensation, benefits, and payroll areas. Assist the Senior HR Analyst to prepare, review and analyze employee data to support decision making in all aspects of the following essential functions.
Essential Functions
Employment & Compliance
- Serve as subject matter resource on all employment process steps; anticipate HR business needs for the team and provide analytical support and guidance on compliance, and overall processes and procedures
- Assist the Sr. HR Analyst with salary surveys and synthesize results identifying key observations and market insights to be presented to management
- Work with HR Business Partners to support day-to-day compensation related questions
- Prepare the annual affirmative action plan; including EEO and VETS annual filing, recruiting and vendor outreach letters, annual data collection and reports and oversight of the applicant dispositioning
- Serve as system administrator and coordinator for quarterly online code of conduct and harassment training.
- Respond to verifications of employment involving compensation; including mortgage, security clearance requests and letters of verification.
- Oversight of unemployment claim management for company submissions.
- Review final I-9 forms as part of onboarding; conduct periodic audits.
Human Capital Management (HCM) Maintenance, Compensation & Reporting
- Input confidential employee information into the HCM including new hires, promotions, transfers, separations, and information updates
- Provide support on the annual compensation and performance management review including the creation of compensation memos, regional wage verification memos and annual promotion memos
- Participate in and/or provide project coordination & management on key compensation and projects & initiatives
- Oversee company paid parking and auto allowance
- Process special payments for off-cycle check requests
- Assist with employee self-service systems
- Monitor and maintain automated standard scheduled reports for new hire, separation and other employee changes (weekly, bi-weekly, monthly, quarterly)
- Create various ad-hoc spreadsheets and reports as needed (employee lists, salary information)
- Prepare Human Resources Department annual and quarterly budget for Senior Management review
- Works with the HRIS team to design and develop compensation reports
- Assist in quarterly data audits to ensure data integrity
- Review annual holiday calendars for each region
- Assist in preparation of various compensation surveys
Payroll Processing
- Partner with Payroll Services and coordinate the flow of information between HR and the Payroll team
- Serve as backup to Payroll Coordinator for weekly and bi-weekly processing in ADP and e-time
- Interface with Human Resources on processing employee transactions and activities related to the transfer of data from the HRIS system to ADP
- Respond to detailed requests by completing required research as necessary and providing the appropriate level of information
Non-Essential Functions
- Filing/shredding, photocopying/scanning, ordering office supplies
- Provide back-up support to Talent Acquisition team as needed
Requirements and Qualifications
- BA/BS degree is required
- 2-4 years of progressively responsible HR administrative/operations, compensation, benefits or related HR analytical experience preferred
- Ability to multi-task and prioritize in a fast-paced environment
- Demonstrated ability to work proactively, both independently and part of a team, and ability to achieve results without close supervision
- Demonstrated practical, hands-on, “can-do” approach
- Strong analytical and problem-solving skills
- Ability to interface with all levels of employees
- Demonstrated commitment to and proficiency in a customer service culture
- Proven organizational skills and attention to detail
- Excellent verbal and written communication skills

- Strong proficiency with Microsoft Office (Word, Excel, PowerPoint), and ability to use data to generate reports and presentations
- Previous experience using a Human Capital Management (HCM) system is desirable
- Flexibility with schedule and ability to sometimes work beyond regular business hours
Physical Requirements
- Involves work of a general office nature usually performed sitting such as operation of a computer or answering the phone
- Involves work of a general office nature usually performed standing such as operation of a photocopier
- Involves movement between departments to facilitate workflow
- May be required to occasionally lift 10-15 lbs
Internal and External Contacts
- Regularly interfaces in both verbal and written form with all levels of professionals (800 employees in multiple locations) regarding a wide range of employee matters. Many matters are confidential in nature.
- Regularly interfaces with external consultants and vendors.
Reporting Structure
- Reports directly to the VP, Total Rewards who provides supervision (to include time approvals and annual performance evaluations) Receives day to day oversight from Senior HR Analyst.
