Overview
The Office Supervisor will provide support to the Office Manager for the overall administration and coordination of practice activities of a single or multiple, onsite or offsite practice(s), as applies.
Job Details
Responsibilities :
- Assists the Office Manager on all day business operations, including accounts payable and receivables, budget analysis, staff payroll, personnel interactions, billing, email and phone communications.
- Acts as a back up to the Office Manager;
- Supports administrative decision and changes within the department;
- Ensures adequate staffing is present at all times in order to provide services in a prompt, efficient manner;
- Assists with the oversight of training, directing, and coaching of staff;
- Assures calls are promptly answered, screened, messages are accurately recorded and distributes to appropriate personnel;
- Monitors and reports on activities related to the achievement of organizational goals as assigned;
- Brings to the Office Manager attention when policies and procedures require update.
- Assists Office Manager with communication to all employees and providers regarding the newest information available pertaining to the efficient operation of the Practice.
- Maintains all data, files, and manuals in accordance with established policy, procedures, and regulatory agencies;
- Verifies validity of insurance information and enters data into EPIC;
- Collects and collates all necessary patient information related to demographic, financial, and insurance status to include but not limited to : ability to pay, Medicare / Medicaid status and all third party payors;
- Obtains pre-certification and authorizations required for inpatient admission or ambulatory encounters from insurance carrier or managed care company and verifies in advance coverage limits, deductible amounts, and pre-existing clauses on all procedures;
- Performs Daily Appointment Reconciliation to ensure the full capture of all inpatient and outpatient surgical cases and ambulatory visits;
- Collect, collates and transmits surgical inpatient and outpatient charges to Revenue Cycle team;
- Assists the Office Manager in working closely with Revenue Cycle team to monitor and improve A / R aging, working to improve revenue projections set forth within each department's budget;
- Assist entering charges for all inpatient, outpatient, and office visits;
- Reconciles changes to office schedules, patient / list sign in sheets, hospital census, logs, etc. to communicate and report discrepancies;
- Assist Office Manager with special initiatives such as but not limited to Meaningful Use, PQRS, Performance Improvements
- Assists Office Manager with the orientation of new employees;
- Assists Office Manager as directed with any needed or required office activity.
- Participates in staff meetings and huddles as appropriate.
- Adheres to all organizational policies and procedures.
Requirements :
High school diploma or GED with concentration of courses in Secretarial Science, Associates Degree in Healthcare or Business Administration required.
Bachelor's Degree preferred.
- Knowledge of Outlook, Word, Excel, Database and Power Point required; Must be flexible and able to work in stressful environment.
- At least 5 years administrative / clinic management experience; competence in applying general operational and personnel practices, accounting / budgeting principles and coordination of clinic administrative functions.
Salary Range
USD - USD / Hr.
