Job Description Summary

This position has two primary focuses, the first is our onboarding process and ensuring all new hires in the US and in Europe have a great onboarding experience. The second is partnering with the recruiting team and providing support around our systems and processes. We are looking for a creative and driven individual, with interpersonal skills that allow you to develop lasting relationships with new hires, recruiters, candidates, and hiring managers. You're also comfortable with stepping back and reviewing the hiring process to potentially identify ways to make it smarter and more efficient. This is a highly visible position and will be interacting with recruiters, hiring managers, and senior leadership up to and including our CEO. You will contribute to the overall success of the talent acquisition group and HR team by providing support and ensuring a smooth and positive experience. The goal for this position is to ensure that each hire we have has an amazing experience and that we continue to make overall process improvements in the TA function.

Job Duties

Onboarding

  • Work closely with the recruiting team to ensure there is a smooth transition from the time someone accepts an offer through their first week.
  • Ensure the process flows through to all the necessary teams regarding ordering equipment, equipment setup, and working with our facilities team.
  • Working with our European partners to ensure all new hires are hired into the system, onboarded, and offboarded correctly.
  • Confirming upcoming start dates and new hire attendees with IT, procurement, recruiting, and hiring manager as needed.
  • Assist employees and candidates who use our online onboarding system with any potential issues or challenges.
  • Schedule and participate in bi-weekly new hire orientation sessions
  • Schedule and participate in quarterly meet and greet sessions with our CEO.
  • Own and manage time-sensitive onboarding tasks such as payroll information and I-9 compliance.
  • Prepare and send bi-weekly candidate experience surveys for new hires.
  • Organize candidate experience survey results quarterly for the Sr. Director of Talent Acquisition
  • Update and create onboarding templates, communications, and job aides as needed.
  • Build out a new executive onboarding program and process specifically for our senior leader hires across CCC.

Recruiting Coordination

  • Create Workday (our ATS/HRM system) tickets for issues and enhancements as needed
  • Partner with our Financial Operations Teams to ensure our European partners are aligned with our current hiring demands
  • Managing Purchase Order agreements with our TA Vendors
  • Prepare and send bi-weekly candidate experience surveys for new hires
  • Organize candidate experience survey results quarterly for the Sr. Director of Talent Acquisition
  • Recognize and execute process improvements across the entire onboarding function, implementing automation and more streamlined processes where possible.
  • Helping maintain internal documentation like offer letter templates.

Qualifications

Requirements:

  • 3-5 years of related onboarding experience in a high growth, technology environment preferred
  • High level of technical proficiency, particularly with Outlook, Excel, Word, and ATS/HRM systems. Experience with Workday is a plus.
  • The ability to evaluate data and interpret trends
  • Exceptional customer focus across various levels of the business, including a bias for fast resolution.
  • Strong teamwork and organizational abilities with superior verbal and written communication skills.
  • Proven ability to contribute in a fast-paced and fluid work environment consistently and positively with the ability to prioritize multiple functions and tasks and manage time efficiently.
  • Self-directed, detail-oriented problem solver with a desire to contribute to the organization's reputation and success.
  • Ability and willingness to challenge status-quo in a productive and constructive way
