Overview
The Administrative Assistant will play a crucial role in supporting the Executive Office in managing administrative tasks, coordinating schedules, and facilitating smooth communication within the Executive Office team. This position requires exceptional organizational skills, attention to detail, and the ability to handle sensitive information with discretion. This position would report directly to the Executive Chairman's Executive Assistant.
Cedar Pine has an in-office work policy that requires three days per week onsite for this role with flexibility of up to five days occasionally and as needed.
Responsibilities
Administrative Support
- Provide administrative support to the Executive Office team, including calendar management, meeting scheduling, and travel arrangements.
- Assist in preparing and organizing materials for meetings, presentations, and reports.
- Handle routine correspondence and communications on behalf of the executive office.
Communication and Coordination
- Act as a liaison between the executive office and other departments, ensuring effective communication and collaboration.
- Facilitate internal and external communication, including responding to inquiries and managing email correspondence.
- Assist in coordinating and scheduling executive team meetings and events.
Document Management
- Manage and organize documents, files, and records for the executive office.
- Ensure proper filing and maintenance of confidential information.
Travel Coordination
- Assist in coordinating travel arrangements, including booking flights, hotels, and ground transportation for the executives and other team members as needed.
Personal Assistant Tasks
- Manage personal appointments, reservations, and other commitments for executives.
- Assist with personal errands and tasks as needed.
- Handle personal correspondence and communication.
Household Management
- Coordinate household services, repairs, and maintenance.
- Assist with event planning and coordination for personal or family-related activities.
Special Projects
- Support the team with special projects, research, and other initiatives as assigned.
- Collaborate with other administrative staff to ensure seamless workflow within the executive office.
Qualifications & Skill Sets
- Experience as an Administrative Assistant or Personal Assistant, preferably in a corporate setting.
- Strong organizational and time-management skills.
- Excellent communication and interpersonal skills.
- Ability to handle multiple tasks while properly prioritizing urgent and high-impact work.
- Proficiency in MS Office (Outlook, Word, PowerPoint, and Excel), Windows, and Adobe Pro.
- Ability to maintain confidentiality and handle sensitive information with discretion.
