Job Description
Job Summary:
The Project Coordinator will carry out various administrative services for our ongoing projects. This task involves monitoring project plans, schedules, work hours, budgets, and expenditures, organizing and participating in meetings, and ensuring that project deadlines are met in a timely manner.
Duties/Responsibilities:
- Maintaining and monitoring project plans, project schedules, work hours, budgets, and expenditures.
- Collaborates with other departments and staff to draft and execute budgets for assigned projects.
- Organizing, attending, and participating in meetings. Documenting and following up on important actions and decisions.
- Ensuring projects adhere to frameworks and all documentation is maintained appropriately for each project.
- Determine project changes and tack all change order requests.
- Create job numbers in Paylocity for employees to clock in to; inactivate after project completion.
- Assist with setting schedules and verification/approval of time cards.
- Create New Vendors as needed and upload W9, COI, and MSA
- Handle NetSuite processes such as creating Projects, entering Quotes, Sales Orders, and Invoicing.
- Compile pictures and information to complete Customer Close-outs.
- Compile all project documents and review the project upon completion to ensure proper margin was met and review any project misses.
- Performs other related duties as assigned.
Required Skills/Abilities:
- Excellent verbal and written communication skills.
- Excellent organizational skills and attention to detail.
- Basic understanding of office management practices and procedures.
- Ability to create, understand, and implement a budget.
- Proficient with Microsoft Office Suite or related software.
Education and Experience:
- Bachelor’s degree in a related field preferred.
- At least five years of related experience is required.
Physical Requirements:
- Prolonged periods sitting at a desk and working on a computer.
- Must be able to lift up to 25 pounds at times.
